Position Responsibilities
The Operations Coordinator will work as part of the office services team and focus on facility, food, beverage and mail responsibilities.
This individual will work collaboratively with other team members to ensure a high level of functionality within the office.
Responsible for consistent facility and conference room checks / walk-through ensuring a clean and organized appearance
Meeting / conference room set-up / break-down including food and beverage stations, charging of IT equipment, movement of furniture for various configurations, proper trash, and recycling disposal, etc.
Coordinate with internal staff, external clients, and catering companies for food and beverage orders for meetings, lunch and learns, lectures and special events;
provide support at large events as needed
Assist with conference room reservations for meetings and events
Responsible for the daily appearance and stocking of office kitchens and maintains
associated equipment, including but not limited to, dishwashers, high-capacity coffee machines, ice makers, water taps, etc.
Responsible for replenishing coffee throughout the day, refrigerator clean-up, pantry organization, etc.
Manage kitchen supply inventory and place orders for general supplies as well as special partner requests
Handle stocking of office supplies
Manage the mail distribution process; outgoing, incoming, and interoffice
Send, receive and distribute FedEx, UPS, USPS, and messenger service packages; handle special shipping needs as required;
experience working with international shipping and freight carriers is a plus
Assists with storage inventory management and logistics
Provides support during staff moves and office cleanup efforts
Responsible for setting up new hire workstations
Maintenance of multi-function printers; support staff with printing issues
Watering and maintenance of the green wall located on the 10th floor
Provides reception coverage and greets all SOM visitors in a pleasant and helpful manner
Serve as member of the SOM safety and evacuation team
Serve as the first point of contact in responding to operations requests from staff
Assists with communication, scheduling, coordination and follow up of contracted services.
Ability to occasionally work outside of regular business hours as needed
Ensures office space meets SOM standards
Assists Office Management to meet requests for all office-related matters and performs various facility duties and engage in other projects as needed and assigned
Minimum Qualifications
High school diploma; Bachelor’s degree preferred
Minimum 1-year experience in a professional office setting; hospitality and / or service-focused role
Must possess problem-solving skills and initiative
Strong attention to detail, time management, and prioritization skills required
Ability to follow directions and procedures from others and manage multiple
responsibilities in a fast-paced environment
Excellent communication and interpersonal skills; working effectively with the public and SOM staff
Valid driver’s license
Occasional heavy lifting required
Software skills including Microsoft Office, Gmail, and calendaring experience
Strong knowledge of general office practice and procedures
Must be reliable, dependable, and have superior attendance
Ability to be on-premise daily

Compensation for this role is based upon experience, qualifications, location, and education and typically ranges from $48,000 - $55,000.
