Job Summary : We are seeking a highly organized and proactive Office Administrator / Executive Assistant to support our senior executives.

The ideal candidate will be detail-oriented, resourceful, and possess exceptional communication skills. This role involves managing administrative tasks, coordinating schedules, and facilitating efficient workflow within the executive team.

Key Responsibilities :

  • Administrative Support : Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and expense reporting.
  • Communication : Serve as the primary point of contact between executives and internal / external stakeholders. Manage correspondence, screen calls, and prioritize messages.
  • Meeting Coordination : Schedule and coordinate meetings, prepare agendas, take minutes, and ensure follow-up on action items.
  • Document Management : Prepare, review, and organize documents, presentations, and reports. Maintain confidentiality and ensure accuracy in all communications.
  • Project Assistance : Assist with special projects, research, and analysis as required. Provide support in preparing materials for presentations and meetings.
  • Client Interaction : Interact professionally with clients, addressing inquiries and providing information as needed. Ensure a high level of client service and satisfaction.
  • Office Management : Oversee office operations, including ordering supplies, maintaining office equipment, and coordinating with vendors.
  • Event Planning : Organize and manage company events, client meetings, and other special functions.
  • Task Prioritization : Effectively prioritize and manage multiple tasks and projects, ensuring deadlines are met and goals are achieved.

Qualifications :

  • Education : Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • Experience : Experience as an executive assistant, preferably within the financial services or wealth management industry.

Skills :

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Detail-oriented and able to work independently.
  • Strong interpersonal skills and ability to work effectively with diverse teams.
