As we continue to expand, we are creating a new Intake Manager position to help us manage incoming leads and ensure our clients receive the attention they need from the very start.
Job Overview
This is an exciting opportunity to build and lead our firm’s intake process from the ground up. As the Intake Manager , you will be responsible for handling incoming client inquiries, qualifying potential cases, and ensuring the seamless handoff of qualified cases to our legal team.
You’ll work closely with the firm’s leadership, including the owner and office manager, to develop a streamlined intake system that optimizes conversions and ensures every lead is managed efficiently.
Key Responsibilities
- Establish and Manage the Firm’s Intake Process : Design and implement an efficient, scalable intake process that maximizes lead conversion and ensures a positive client experience from first contact.
- Client Vetting and Case Qualification : Evaluate potential cases based on firm criteria, ensuring that only qualified, high-value cases are onboarded.
- Initial Client Contact : Respond promptly to client inquiries, gather necessary information, and create a welcoming first impression of the firm.
- Streamline Intake Process : Work with the leadership team to integrate technology and improve the intake process for maximum efficiency.
- Data Entry & Case Management Integration : Ensure accurate and timely entry of lead information into the case management system, facilitating a smooth transition for case managers.
- Track and Report Intake Metrics : Monitor key performance indicators (KPIs) such as the number of new leads, conversion rates, and response times, providing regular reports to senior management.
- Develop Follow-Up Protocols : Create systems to follow up with leads who haven’t yet committed, ensuring no opportunities are missed.
Qualifications
- Experience in Client Intake or Sales : Minimum of 3 years of experience in a client intake, sales, or customer service role (experience in personal injury law is a plus, but not required).
- Self-Starter with Leadership Potential : Ability to take ownership of the intake process, build it from the ground up, and eventually lead the intake team as the firm grows.
- Strong Communication Skills : Excellent verbal and written communication skills, with the ability to empathize with potential clients and make them feel heard and supported.
- Tech-Savvy : Comfortable using case management software, CRM systems, and other technology tools to manage the intake process and ensure efficiency.
- Organizational Skills : Highly organized and detail-oriented, with the ability to prioritize tasks and manage multiple leads in a fast-paced environment.
