JOB SUMMARY / ESSENTIAL JOB FUNCTIONS : The Administrative Program Support 1 coordinates the daily activities of the Neurology residency program, ensuring compliance with accreditation standards, and supporting residents and faculty under the direction of the Program Director.
The position serves as a liaison between residents, faculty, and administrative staff. This position will also support other residency programs in the Department of Medicine as needed.
DUTIES AND RESPONSIBILITIES :
- Creates monthly schedules into the residency management program (MedHub) for the residents to include the input of the call schedule into the online hospital call schedule PerfectServe.
- Creates, downloads, and logs evaluations using medical residency software (MedHub).
- Answer telephone, screens and directs calls, takes and relays messages, provides information to callers, and transfers to appropriate faculty / staff member.
- Provide general administrative and clerical support for Neurology residency staff and faculty such as preparation of letters, reports, records, and other documents from rough drafts and corrected copies.
- Maintains hard copy files for all current residents and hard copy or electronic files of previous residents to include correspondences, ERAS application, transcripts, evaluations, ECFMG certificates, certifications, visa information, summative evaluations, attendance and procedure log records.
- Monitors duty hours and print reports from MedHub regarding any duty hours violations.
- Assists the Neurology Director with the resident interviewing process by scheduling faculty interviews with applicants, making gift bags for applicants (if applicable), picking up applicants at the information desk, and ensuring they meet with scheduled interviewers.
- Assists the Neurology Program Director in satisfying all ACGME and RRC accreditation guidelines.
- Collects and maintains an inventory of office equipment and supplies; orders supplies for the residency program.
- Performs other duties as assigned.
Qualifications
MINIMUM REQUIREMENTS :
EDUCATION : High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE : Four (4) years of experience; OR Bachelor’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES :
- Ability to work independently with a diverse group of professionals.
- Excellent verbal and written communication skills.
- Ability to manage multiple projects simultaneously.
- Excellent computer skills including Word, Excel, and PowerPoint.
