Beacon Hill is working with a Washington Personal Injury firm on a temp to hire Front Desk / Receptionist opening anticipated to start as soon as possible.

To be successful in this role you will need the following :

  • High level of attention to detail
  • Multitasking ability and ability to work in a fast-paced environment
  • Driven, "can do" attitude is a must
  • Ability to work in a team environment
  • This role will require you to open the office Monday to Friday. This position does not have a work from home option. Hours will be Monday to Friday, 8 : 30am to 5 : 00pm, with a lunch break.

The reception position is outlined below. Note : this is a general description and not intended to include all tasks related to this position :

  • Answer incoming phone calls;
  • Screen phone calls for potential new clients;
  • Greet vendors, guests and clients;
  • Make coffee and keep the kitchenette clean;
  • Open, date stamp, scan, save and distribute mail daily;
  • Create and close client files using OneDrive and SharePoint; manage the closed file list;
  • Assign client copy / postage codes for assisting with tracking client costs;
  • Manage firm client list;
  • Order and keep track of supplies;
  • Conference room setup and breakdown as necessary; and
  • Occasional errands (getting lunches, post office / UPS / FedEx, or bank runs).

The legal assistant position is outlined below. Note this is a general description and not intended to include all tasks related to this position :

  • Request medical, employment, school records - must be able to track and follow up on outstanding requests;
  • Work directly with clients to create lists of providers seen from all time periods (as directed);
  • Locate and track down old providers and archived records;
  • Receive work, projects, and tasks from paralegals and / or attorneys;
  • Download, rename, save and distribute incoming electronic faxes;
  • Copy and / or scanning projects including OCR discovery production and records;
  • Draft HITECH invoice dispute letters;
  • Update client case files using our online case management software, CasePeer;
  • Document preparation and file organization; and
  • Review and follow-up on deadlines and calendar appointments

Skills / Requirements

  • Proven work experience as a receptionist, front office representative, legal assistant or similar role;
  • Proficiency with Microsoft Office;
  • Proficiency with office equipment (i.e. printers, multi-line phone, scanners, etc.);
  • Professional attitude and appearance;
  • Solid written and verbal communication skills;
  • Ability to be resourceful and proactive;
  • Excellent organizational skills;
  • Multitasking and time-management skills, with the ability to prioritize tasks;
  • Punctual, reliable, honest, and dependable;
  • Team-player mentality.
