Jewish Family Service is seeking an Executive Assistant to join our Executive Team. As a confidential assistant for the Chief Executive Officer (CEO) and the Chief Operating Officer (COO), the Executive Assistant is responsible for performing a variety of highly complex duties to conserve the CEOs and COOs time and to represent them internally and externally.
The position requires a high degree of discretion and tact, coupled with an appropriate sense of urgency. In this role you will have the opportunity to learn the operations of a diverse non-profit organization as well as agency structure and management.
The ideal candidate is comfortable working with C-suite executives as well as high level donors, volunteers and community members.
This full-time (37.5 hours per week) position will work remotely as well as in our Capitol Hill office.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
Complete a broad array of administrative tasks including managing an active calendar, composing confidential correspondence form rough drafts or verbal instructions;
arranging itineraries and agendas; handling calls and reviewing, sorting and routing incoming mail.
Plan, coordinate, and ensure the CEOs schedule is followed and respected.
Serve as liaison between the CEO and internal and external constituencies, including agency staff, the Board of Directors, community groups and representatives, and political and community dignitaries.
Provide administrative support to the COO, including assisting with meeting coordination, preparation of correspondence, development of presentations, and other support as needed.
Support the Executive Team in implementing agency initiatives : Plan and manage tasks, agendas, milestones; schedule meetings;
draft correspondence; serve as trusted advisor to the Executive Team; provide additional support and project management for select initiatives.
Support the Executive Team by assisting with planning meeting agendas, creating and distributing materials for team meetings, coordinating and ensuring follow up from agendas.
Provide a bridge between the Executive office and internal departments, demonstrating leadership to maintain credibility, trust, and support with all staff.
Serve as the CEOs administrative liaison to the Board of Directors and provide the Board with appropriate support for a variety of monthly meetings, events and special projects as needed.
Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the President of the Board, some of which may have organizational impact.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
Perform work on weekends and evenings as needed to meet applicable deadlines.
Valid Washington State drivers license, auto insurance and reliable access to personal vehicle as well as ability drive agency vehicles as required.

QUALIFICATIONS :
3-5 years professional experience as an assistant to Board of Directors, CEO / senior-level staff, or other relevant administrative support experience.
Excellent organization and multi-tasking skills with keen attention to detail.
Strong written skills with ability to compose effective and accurate correspondence.
Ability to understand complex documents and analyze and synthesize content for others.
Ability to think strategically on agency level strategy and initiatives and act as thought partner with CEO and Executive Team.
Highly resourceful team-player, with the ability to be work independently effectively.
Knowledge of Jewish community and culture desirable.
SALARY AND BENEFITS :
- The starting pay for this position is $59,969 to $66,632 per year.
