Scion Nonprofit Staffing has been engaged to conduct a search for an Senior Administrative Assistant for immediate hire for our client, a nonprofit organization dedicated to supporting philanthropy by providing resources, networking opportunities, and advocacy for its members.
This is a Full-Time (35 hours a week), Hybrid (3 days onsite), 6-Month Contract opportunity working in Washington, DC!
As the Senior Administrative Assistant , you will report to the Vice President and utilize your strong administrative skills to support the executive team.
Your initiative and ability to build positive relationships will help you succeed in supporting this organization and its mission!
RESPONSIBILITIES :
- Coordinate and prioritize appointments, meetings, and conference calls for four leaders, ensuring efficient use of their time.
- Manage and reconcile expense reports accurately and in a timely manner, utilizing expense tracking software.
- Arrange travel accommodations and itineraries for three leaders, including booking flights, hotels, and ground transportation.
- Handle routine email inquiries about the organization’s flagship product, the Grantmakers Salary Survey, providing prompt and informative responses.
- Conduct thorough file review and organization to facilitate the ongoing file digitization project, ensuring proper documentation and storage.
- Assist in the preparation and staging of physical office spaces for sublease, including furniture arrangement and setup.
- Conduct inventory assessments and reorder office supplies as needed, ensuring adequate stock levels and cost-effectiveness.
- Coordinate the proper disposal and recycling of outdated or non-functioning technology equipment in compliance with environmental regulations.
- Provide comprehensive backup support to the office associate during the onboarding process for sublessees, including administrative tasks and orientation assistance.
QUALIFICATIONS :
- 5+ years Administrative Assistant experience
- Nonprofit experience is a plus!
- Bachelor’s Degree in related field
- Strong proficiency with MS Office Suite
- Excellent written and verbal communication skills
- Strong organizational and prioritization skills
