Responsibilities
Accounts Payable
- Process invoices accurately and timely for payment approval.
- Verify coding, approvals, and ensure compliance with company policies.
- Maintain vendor relationships and resolve discrepancies.
Accounts Receivable
- Generate and manage client invoices, ensuring accuracy and timeliness.
- Monitor accounts receivable aging and follow up on overdue payments using collections protocols.
- Handle draws, including preparing and submitting percent complete pay applications.
Payroll Administration
- Process payroll accurately using QuickBooks Online payroll software.
- Verify timesheets, deductions, and ensure compliance with labor laws.
- Address payroll inquiries and discrepancies promptly.
Financial Documentation
- File preliminary notices and lien waivers as required for projects.
- Reconcile monthly credit card, gas card, and bank statements.
- Assist with financial reporting and month-end / year-end closing tasks.
General Administrative Support
- Assist with prequals, credit apps, licensing renewals.
- Provide administrative support to management as needed.
- Handle incoming calls, emails, and inquiries professionally and efficiently.
Requirements
- Proven experience (2-3 years) in construction accounting, including AP, AR, and payroll functions.
- Familiarity with percent complete construction draws, waivers, and preliminary notice filing.
- Knowledge of payroll processing and tax regulations.
- Proficiency in various software (e.g., QuickBooks Online, Textura, ProCore, Slack, OneDrive, MS Office Suite).
- Strong attention to detail and accuracy in data entry and financial reconciliation.
- Excellent organizational and time management skills.
- Effective communication skills, both verbal and written.
