Position Purpose
USL is looking for an Accounts Payable Clerk- Receptionist to assist the Finance & Accounting Department in the daily finance activities of the organization.
We are looking for an energetic, self-motivated, detail-oriented individual to assist in a myriad of accounting activities including accounts payable maintenance, invoicing, accounts receivable processing and monitoring, and bank balancing.
This position will also act as our office receptionist and office assistant.
Duties and Responsibilities
Specific duties include, but are not limited to :
- Accounts payable maintenance including vendor management, verifying transaction information, and obtaining authorization for payment processing.
- Accounts receivable maintenance including customer management, verifying transaction information, and preparing and emailing invoices.
- Accounts receivable collections including delinquent account notices, notifying customers of insufficient payments, and working collaboratively with internal department heads to minimize past due customer accounts.
- Reconciles banking activity daily.
- Credit card account reconciliations.
- Monitors Finance Inbox daily to ensure finance tasks are completed in a timely manner.
- Maintains financial security by following internal accounting controls.
- Receptionist and Office Assistant duties such as welcoming guests, maintaining lobby and meeting rooms, assisting with general office functions, and more.
- Other duties / responsibilities as assigned.
Qualifications
- Minimum of two years of work experience in accounting / finance required. Prefer previous accounts payable clerk and / or bookkeeper experience.
- Proficiency with Microsoft Office products (Word and Excel).
- Ability to handle multiple priorities simultaneously.
- Ability to prioritize and organize your own work.
- Ability to work independently.
- Effective oral and written communication skills.
- Discretion in handling confidential materials a must.
- Ability to grasp tasks / concepts quickly and eventually work with minimal supervision.
- Ability to establish and maintain professional atmosphere for team members, member clubs, clients, and customers.
- Strong interpersonal and communication skills to effectively interact with team members, executives, member clubs, and external partners.
- Ability to work independently in a multi-faceted, fast, fluid, and deadline-driven environment.
- Positive attitude and strong work ethic a must.
- Ability to work as business needs require which may include long days, evenings, weekends, occasional holidays, and travel if / when necessary.
- Must have U.S. work authorization.
