Responsibilities
OVERVIEW :
This part-time position is responsible for providing a variety of administrative and executive support services to the General Counsel and the entire Post Consumer Brands Legal department.
Prior experience in a law firm, corporate legal department or other law-related job setting is strongly preferred. It also requires strong Microsoft Office skills, data entry and reporting skills, and exceptional organization, interpersonal, and computer skills.
Position requires the ability to understand legal processes and adjust to fluctuating assignments and workload. This individual must be able to work independently with little to no supervision.
They must be highly organized, detail oriented and flexible while being able to maintain utmost confidentiality with situations that require a high degree of discretion, such as litigation management and mergers and acquisitions.
RESPONSIBILITIES AND ACCOUNTABILITIES :
- Provide administrative support to the General Counsel and Legal organizations, which includes preparing PowerPoint presentations, financial reports, data entry and legal database management, travel arrangements, setting up purchase orders and coding invoices, preparing expense reports, meeting arrangements, etc.
- Coordinate individual and group calendars and manage the workflow and priorities of the General Counsel. Prioritize inquiries and requests while troubleshooting conflicts with little guidance;
make judgments and recommendations to ensure commitments and responsibilities of the Legal Department are met.
- Management of the company’s legal matter filing system and contracts repository (Zycus iContract); update and manage permissions of Legal Department SharePoint site.
- Manage legal matters, law firm invoicing and payment using Thompson Reuters Legal Tracker platform, plus management of JDE and OnBase accounts payable systems for the entire Legal team.
- Prepare for and follow up on internal and external meetings including preparing documents using PowerPoint, Word, Excel and Outlook, managing meeting logistics, have a complete understanding of Microsoft Teams and use of all conference room equipment.
Order, set-up and take down food service for meetings, as needed.
- Complete special projects as required or assigned including basic legal research, creating support documentation, contacting outside sources, etc.
- Arrange detailed travel plans / itineraries and compile documents for travel-related meetings. Arrange travel with PHI Corporate Travel, if needed, for use of corporate plane.
Compile and process expense reports.
- Proofread, notarize and ship legal documents, including real estate and intellectual property documents.
- Approximately 30 hours per week, with the majority of time spent at our Lakeville, MN headquarters location.
Qualifications
REQUIREMENTS
Education :
Minimum of two years vocational / business school training in an administrative program.
Experience :
At least five years’ experience in an administrative assistant role supporting attorneys and / or executive leadership.
Other Knowledge, Skills, and Abilities
Strong interpersonal and solid organizational skills necessary. Strong proficiency in the use of Microsoft Office software required.
Ability to multi-task and provide support to numerous individuals. Individual must be highly organized, detail-oriented, flexible, and able to work under pressure at times to handle a wide variety of activities including those that are highly confidential and required a high degree of discretion.
