Description of Primary Duties
- Serve as a communication liaison for the Deans Office, both within the college and across the University.
- Complete or assure paperwork from college and college units is accurately completed, processed, logged, and filed
- Purchase supplies when needed.
- Evaluate all incoming new employee paperwork from college units. Confirm new employee eligibility by completing E-Verify process for college units.
- Complete tasks for Pharm D Program, MSU Care Clinic, Simulation Lab, and PsyD Royalties Fund, as requested.
- Support various budget processes within the college, including reviewing reports and determining appropriate amounts for transfers.
- Supervise office student workers and graduate assistant, assigning tasks that align with their interests and strengths.
- Provide support to administrative assistants across the college, including facilitating a monthly meeting and updating Admin Manual on an ongoing basis.
- Attend meetings, as requested / needed, taking notes when requested.
Minimum Acceptable Qualifications Education / Experience : A high school diploma or the equivalent and four years of administrative support or secretarial experience or an equivalent combination of education and experience is required.
Experience in maintaining, monitoring, and reconciling financial records and accounts is preferred.
Skills : Effective verbal and written communication skills are required; effective interpersonal and organizational skills are required.
Supervisory skills and the ability to train, assign work, and review the work of full- and part-time employees and student workers are required.
The ability to maintain cost center financial records and accounts and prepare complex financial reports is required. Keyboarding skills are required.
A working knowledge of word processing and spreadsheet applications is required. A working knowledge of or the ability to learn and use database applications, the web content management system, the administrative business system or enterprise resource planning system, and other systems or applications that may be used within the University or department is required.
The ability to operate and troubleshoot electronic office equipment, computers, and peripherals, maintain complex filing systems and records, and make mathematical calculations is required.

Effort : Administrative support positions are primarily sedentary. Administrative support positions require frequent keyboarding.
