Job Description
Basic Purpose
Responsible for overseeing the administrative appeal process. This requires extensive coordination with a number of parties, both internal and external.
Provides records management and administrative support services to the OHCA Office of Hearings and Appeals.
Typical Functions
Manages administrative appeals process and serves as docket clerk; screens appeal requests and assigns cases to Deputy General Counsels;
liaisons with members, providers, witnesses, agency and outside counsel, and administrative law judges; maintains central appeals files.
- Assists in managing administrative appeals process, including receipt of appeals, docketing, correspondence with appellants, opposing counsel and administrative law judges.
- Responsible for docketing appeal hearings. This requires extensive coordination with a number of parties, both internal and external, and ability to review and coordinate calendars for all witnesses and counsel involved.
- Organizes and maintains OHCA electronic and paper master case and other files. Responsible for ensuring that all files are complete, timely, properly organized, and accessible.
Prepares closed files for permanent storage.
Prepares monthly appeals reports and other reports as requested by administrative law judges and Executive Staff.
Education and Experience
- Bachelor’s degree OR
- 4 years of professional experience OR
- An equivalent combination of education and experience equal totaling 4 years.
Preference may be given to candidates with :
- Paralegal experience
- Paralegal certification
- Professional experience in a legal office
- Appeals or other docket clerk experience
- Experience preparing legal documents
- Proficient with Microsoft Outlook, Word, Excel
- Records clerk / record management experience
Special Requirements
Physical Demands :
- Must be able to remain sitting for prolonged periods at a desk and working on a computer.
- Must be able to move or lift up to 15 pounds at various times.
Work Environment :
The office work environment includes regular exposure to general office equipment such as computer equipment, phones, and copy machines.
