Job Summary :
The Medical Records Specialist maintains accurate, complete, up-to-date clinical and pathology results, records and databases for the Pathology and Clinical Medicine Departments.
As a position that provides service to two departments, the position reports to the Head of the Pathology Department and a Senior Veterinarian.
Excellent attention to detail, being proactive and flexible, good organizational skills, and comfort working independently or as part of a team, are all important elements contributing to success in the role.
The job involves working with our team of pathologists, molecular scientists, post-doctoral researchers, volunteers and support staff.
The position is part of a collaborative pathology department team that works to perform critical activities to meet the goals of the Zoological Health Program and the WCS.
Major Responsibilities :
The Medical Records Specialist performs critical activities related to animal medical and pathology records. Activities can include :
- Maintain accurate computerized and hard copy clinical and pathology veterinary records for both active and de-accessed animals, updated on a daily basis
- Receive, distribute, transfer into medical databases and file medical and pathology information and laboratory test results
- Prepare and collate reports of medical and pathology data
- Work with veterinary and pathology technicians to track and record laboratory samples and results
- Assist with shipments of animals by coordinating assembly of medical records and laboratory results, obtaining pending laboratory results, and by interfacing with Animal Records Specialists and veterinarians
- Create and maintain databases of zoonotic diseases (e.g., West Nile, Johne's, Avian Influenza) of regulatory (City, State and Federal) concern;
create, prepare, and submit special reports for tracking state and federally regulated diseases as needed or requested
- Effectively communicate with Animal Registrars regarding animal acquisitions and dispositions
- Supervise volunteers that perform data entry and / or clinical and pathology record filing; assist staff with software (e.
g., ZIMS) related questions / training
- Assist clerical / administrative / front office and other staff as needed in support of WHC functions; perform other duties as required
- Assist in departmental budget monitoring, verification, and implementation

Qualification Requirements
Job Qualifications :
- Candidates with a Bachelor's or Associate's degree (minimum) preferred
- Preference will be given to candidates with experience working full time in a health setting, preferably in a zoo, aquarium, laboratory animal, or exotic animal setting
- Ability to prioritize tasks and work effectively and efficiently independently or as part of a team
- Attention to details and excellent organizational and time-management skills are essential
- Must be able to work effectively in a high volume, complex, multi-pathologist, multi technician health care setting
- Must be able to read, write, and communicate effectively in English
- Experience using basic word processing programs and good typing skills are required
