Job Description
Our "Great Place to Work Office" seeks and Administrative Assistant who can work under limited supervision to provide the following administrative support on a daily basis.
- Respond to or forward incoming faxes.
- Respond to or forward incoming e-mails.
- Respond to voice messages within 24 hours and update telephone log with request and response.
- Respond to notes forwarded to Accounts Receivable in a timely manner.
- Assist in resolving account discrepancies and communicating resolution to parties involved.
- Using available resources, investigate and resolve returned mail issues. Update and note account as appropriate. Reroute when necessary.
- File any returned certified notices in appropriate file in a timely fashion.
- Bind financials as directed by Manager and file appropriately.
- Copy documents as directed by Manager and file appropriately.
- Update Association websites as directed by Manager.
- Set-up for Board of Directors meeting as directed by Manager.
- Assist with preparation of balance due / credit letters, violation letters, attorney referral letters and inspection letters as directed by Manager.
- Generate ARC approval / disapproval letters as directed by Manager.
- Assist with field audits and / or inspections as directed by Manager.
- On a weekly basis, compile copies for appropriate board members and forward to their email or mailing address.
- Assist with special projects, disclosure packets, front desk coverage and daily outgoing mail.
Requirements
High School Diploma, GED, or equivalent experience. Demonstrated ability to handle and prioritize multiple tasks. Excellent verbal and written communication skills;
strong customer service skills, intermediate to advanced Microsoft Office user. Must be able to complete tasks and basic correspondence with minimal supervision at a fast pace.
Must be able to analyze facts and make logical conclusions.
