Summary :
Coordinator Scheduling Operating Room facilitates awelcome and easy access to the facility and is responsible forestablishing an encounter for any patient who meets the guidelinesfor hospital service.
The Coordinator ensures that all data entryis accurate, including demographic and financial information foreach account.
The Coordinator is responsible for the successfulfinancial outcome of all patient services. The Coordinatorcommunicates directly with patients and families, physicians, andnurses.
This position requires professional appearance, behavior,and good communication skills, along with dependability,flexibility, and teamwork.
Thisadvanced-level position is designed to promote the demonstratedknowledge and competency of the Coordinator Scheduling OperatingRoom to demonstrate the ability to use good judgment in makingindependent decisions to resolve customer issues in all routineoperations.
The CHRISTUS Children’sHospital, established in 1959, was the first children’s hospital inSouth-Central Texas. Located downtown, this 190-plus-bed hospitalserves more than 70,000 children annually from San Antonio, SouthTexas and around the world.
The hospital (in partnership withBaylor College of Medicine) is the only academic children’shospital in San Antonio. Our highly specialized services meet theunique medical needs of children, from Pediatric and NeonatalIntensive Care to Children’s Emergency Services, the latesttreatments for deformities of the spine including titanium ribimplants and halo traction, a Heart Center, a specialized asthmaprogram, a highly regarded Cancer and Blood Disorders Center, andgrowing maternal services to include consultation, delivery, andmaternal fetal medicine.
Responsibilities :

SCHEDULING
- Obtainsand accurately inputs all required data elements for scheduling andregistration, including patient demographics, financialinformation, guarantor information, and relevant notes associatedwith the encounter.
- Data fields include but are notlimited to : address, employment, insurance info, nearest relative,guarantor, insurance plan, admitting diagnosis, working diagnosis,and physician information.
- Prioritizes and completesscheduling in a consistent, courteous, professional, accurate, andtimely manner.
- Review the schedule to ensureaccuracy.
- Ensures each patient is assigned only onemedical record number.
- Select the appropriate patienttype based on the department and services required.
- Documents in account notes.
- Ensures orders arereceived and are consistent with tests / procedures.
- Confirms schedule with each physician daily; confirms a nullschedule.
CUSTOMER FOCUS
- Effectively meets customer needs, builds productive customerrelationships, and takes responsibility for customer satisfactionand loyalty.
- Greets patients courteously andprofessionally.
- Calls patients by name.
- Ask patients if they may have special needs.
- Represents the Surgery department in a professional, courteousmanner at ALL times.
- Works with other departments toresolve Scheduling issues in a timely and professional manner.
ERRORS
- Makes minimal errorsin performing scheduling / insurance verification See Error Policyand Procedure for target error rate percentage.
- Utilizes education information to reduce error rates.
- Requests additional education information when necessary.
- Demonstrates ability to select correct insuranceplans.
EDUCATION
- Providesfocused education for staff as needed.
- Coordinate newhire training (if needed)
- Assure Healthstreameducation is completed timely.
- Attends the majorityof Direct Connects
OTHER
- Required to assist the hospital in the event of an internal orexternal disaster.
- Supports the flexible needs of thedepartment to accommodate patient volume in all areas of thehospital. This may require assignment to another area of thedepartment, and shift change.
- Supports the departmentin achieving established performance targets.
- Completes required training as needed.
- Performs allother duties as assigned.
Requirements :
A. Education / Skills
- High School diploma or equivalentrequired.
- Associate degree preferred withemphasis in Health / business-related field.
B. Experience
6 months of scheduling experiencepreferred.
C. Licenses,Registrations, or Certifications
None required.
