SUMMARY OF DUTIES AND RESPONSIBILITIES :

This position, which reports to and partners with the Housing Operations Manager, supports the day-to-day operations of all ECS Master-leased and Affiliate Housing Sites, including any future ECS Housing Sites.

Primary duties and responsibilities :

  • Stakeholder Liaison : Facilitate and manage communication and coordination between key stakeholders, providing strategic input and recommendations to support leadership initiatives and problem-solving
  • Strategic Communication : Oversee and manage day-to-day communication tasks, ensuring accurate and prompt message relay.

Maintain and enhance relationships, proactively following up on critical tasks.

Operations Project Management : Oversee and manage complex operations projects, coordinating activities and preparing for executive meetings.

Handle and lead critical aspects of operations projects.

Facilities Management : Lead facilities management tasks, coordinating vendor services, scheduling repairs, and conducting thorough inspections.

Report findings and provide actionable recommendations to the manager.

  • Repair Contract Management : Oversee and manage the coordination and scheduling of vendor services, ensuring all parties are informed and processes are streamlined.
  • Record Management : Take primary responsibility for maintaining and overseeing accurate records, ensuring compliance with document retention policies.
  • Contract Management : Facilitate and oversee paperwork and scheduling tasks. Review and approve documents for completeness and accuracy, supporting the manager in high-level contract management activities.
  • Invoice Management : Oversee and manage the preparation of check requests, project invoices, and change orders, ensuring accuracy and timely processing.
  • Community Engagement : Organize and manage community meetings, handling logistical details and providing strategic input.

Attending meetings to take notes and provide actionable reports.

Emergency Management : Respond to site emergencies, follow established protocols, and support the manager in emergency management by exercising discretion and independent judgment.

Provide feedback and suggestions for improvements based on observations and experiences.

Other Duties : Perform other high-level duties as assigned, demonstrating independent judgment and strategic decision-making.

Qualifications

REQUIREMENTS :

  • Experience with MS Office computer programs, including Outlook, Word, Excel and PowerPoint, is required.
  • Strong interpersonal skills; ability to effectively and professionally communicate orally and in writing.
  • Organization and file management skills.
  • Proactive, self-motivated, independent, resourceful / adaptable, and creative in the planning process. Able to manage multiple tasks and adjust quickly to changing priorities.
  • Ability to accept supervision and work cooperatively with staff, clients, and the general public.
  • A minimum of a high school diploma, secondary degree, or relevant certificate is preferred.
  • Minimum of two year’s experience in supportive housing operations or Property Management.
  • Minimum two years of supervisory experience.
  • Demonstrated experience and commitment to culturally appropriate and respectful communication and interaction with ECS’s client and resident population.
  • Must honor and abide by rules of Confidentiality.
  • Ability to follow directions and processes precisely, strong attention to detail.
  • Good problem-solving skills and ability to follow through with projects in a timely manner.
  • Excellent independent judgment and decision-making skills.
  • Culturally competent with experience working with underserved populations.
  • Ability to establish, model, and maintain healthy boundaries.

OTHER :

Must secure finger image screening and annual TB screening. This position will also require computer and telephone use and include long periods of standing or sitting at a desk and / or computer terminal.

Must be able to bend and lift up to 40 lbs.
