The Practice Coordinator is responsible for organizing and coordinating the daily practice activities of Forsyth Faculty Associates.

The Practice Coordinator is directly responsible as the first point of contact for patient interaction in the practice, in addition to organizing the schedule, assisting doctors with scheduling or rescheduling patients based on availability, responding to patient inquiries and triaging / escalating accordingly, and ensuring the proper information is on file for each patient.

Responsibilities :

  • Greet and welcome patients and visitors to the practice and institute.
  • Check in patients, register new patients, verify demographic information, ensure necessary forms and consents are on file.
  • Verify insurance coverage prior to patient appointment, update insurance information in Dentrix, and communicate co-insurance payments / pre-estimate responsibilities to the patient.
  • Respond to new patient inquiries and practice email in a timely manner.
  • Upload documentation and x-rays into Dentrix when received.
  • Coordinate release of records with patients and send corresponding documentation to patient or designated providers.
  • Explain office policies and assist patients in completing necessary forms and documentation.
  • Maintain and manage patient records in compliance with privacy and security regulations.
  • Send and track referrals of existing patients in practice : ensure appropriate documentation has been sent to and received by practice post referral.
  • Coordinate communication between the patient and doctor for questions or concerns.
  • Track patients overdue for recall appointment or non-scheduled patients in treatment, contact patients and schedule appropriate appointment.
  • Answer and manage incoming calls, including triaging emergency calls. Refer any calls unrelated to FFA to the appropriate department.
  • Confirm upcoming appointments, proactively fill cancellations and no-show appointments, and ensure schedule remains at capacity.
  • Work closely with providers to modify clinical schedule at their request, including rescheduling patients and opening / closing schedule.
  • Ensure patients leave the practice with a scheduled appointment.
  • Regularly monitor lab cases that have been received and contact patients for appointment if unscheduled.
  • Review and respond to basic inquiries and comments and escalate other inquiries to Practice Operations Manager if appropriate.
  • Assist Practice Operation Manager in answering / resolving patient billing problems and inquiries relating to all specialty services rendered.
  • Assist with the prompt resolution of problems that arise in daily clinical operations and collaborate with the Practice Operations Manager in providing a consistent standard of service.
  • Participate in initiatives to create a high level of customer service by working closely with all staff and providers to create the ideal patient experience and environment.
  • Prepare social media marketing campaigns for practice Instagram and Facebook pages.
  • Prepare and submit insurance pre-estimates and claims, as needed.
  • Post insurance payments and prepare daily deposits as needed.
  • Other duties as assigned.

Qualifications :

  • Qualified candidates will have customer service experience, a patient-centric focus and be self-motivated seeking out ways to contribute to the success of the practice.
  • Strong written and verbal communication skills.
  • Strong organizational, time management, and problem-solving skills.
  • Must exhibit flexibility and function effectively in a fast-paced, growing practice.
  • Must be pro-active and handle patient interactions in a variety of situations, some of which are stressful.
  • High School Diploma.
  • Able to work occasional Saturday.
  • 1+ year experience working in a dental office setting (preferred).
  • Experience with Dentrix practice software (preferred).
