The Commercial Operations Specialist is a friendly, enthusiastic individual who excels at and enjoys the coordination and provision of exceptional service to our internal and external customers.
The COS must be able to multitask, be detail oriented and possess excellent interpersonal skills. In this role, the COS is responsible for assisting in all assigned commercial initiatives and delivering completed cross-functional projects involving both the internal commercial team and the independent field sales organization.
The COS must be willing and able to work in a fast-paced environment and be able to work independently and prioritize job duties.
Principal Duties and Responsibilities :
Distributor Onboarding
Coordinate onboarding / offboarding activities of distributors and sales specialists. Manage and maintain welcome package materials including all necessary paperwork, various e-platform credentials, marketing materials, samples, etc.
Specific activities include :
- Develop and maintain onboarding welcome package for distributors.
- Process Sales Representative Agreements (SRAs), including sending and receiving agreements from the internal organization to the field commercial team.
Ensures all needed documentation for new distribution agreements and / or updates to existing agreements is executed in a timely fashion.
- Manage additions and subtractions to the Sales Roster and the Approved Distributor List as representatives enter and exit the independent field organization.
- Add / remove distributors / specialists from the App. Send the recipient a welcome email granting them credentials to login to the app.
- Mimeo Marketplace Grant login credentials to new distributors, work with Sales Management to determine baseline credits, provide any necessary training.
Healthcare Professional Interactions and Documentation
Coordinate the Sunshine Act reporting for the distributors. Send quarterly reminders for them to submit their sunshine act report.
Create a list of those who have not and work with AP department to process. Submit reports to Legal, comparing list of Surgeon Summit attendees and those reported by distributors.
Process honorariums and expense reimbursements for surgeon engagement activities. Work with AP department to submit the required information and follow through to be sure that the honorariums are paid to the surgeons in a timely fashion.
Sales, Marketing, and Education Support
- Maintain app and Website by communicating with Galen and editing content through the backend. Provide troubleshooting with App.
- Journal Ads Create a calendar of Ad submissions and upload ads by the submission date. Work with Marketing Team to refresh ads and create new ones for new launches.
- Manage the company online Marketplace with Mimeo. Perform new distributor onboarding, monitor warehouse stock and re-ordering process, coordinate addition / subtraction of inventoried items.
- Support Events Manager on executional items during the week of large events, including Surgeon Summits, Sales Training, industry meetings, Visiting Surgeon Program, and other commercial meetings.
- Coordinate the delivery of marketing and sales analytics reports utilizing internal and external data sources to support CLT agendas and other recurring deliverables.
- Collect and process information provided by independent field representatives for Conversion Programs.
- Provide additional assistance as directed by senior leadership.
Requirements :
- BS / BA Degree or equivalent from an accredited institution preferred.
- 2 years of customer-facing, administrative experience in a medical or other professional office environment.
- Proficient in Microsoft 365 environment (Excel, Word, Outlook and PowerPoint).
- Excellent planning, preparation and time management skills.
- Strong written and oral communication skills, interpersonal skills.
- Professional demeanor, ability to work with and establish relationships in a customer-facing role.
- Ability to work with and coordinate with other departments / personnel in a collaborative and solutions-oriented manner.
- High attention to detail, persistent, strong follow-up skills.
- A team oriented do-er who gets things done with a sense of urgency.
- Minimal travel requirements, approximately 1-2 trips per year.
