Our Client is looking for a Front Desk Specialist to join their team on a direct-hire basis. The ideal candidate will provide essential administrative support to ensure the smooth operation of our office.
This role requires excellent organizational skills, the ability to multitask, and a proactive approach to problem-solving.
This role 100% onsite.
Key Responsibilities :
- Manage the front desk and reception area, greeting clients and visitors with professionalism and courtesy
- Answer and direct incoming phone calls, taking messages as necessary
- Schedule and coordinate meetings, appointments, and conference calls
- Prepare and edit documents, reports, and presentations
- Maintain and organize electronic and physical filing systems
- Assist with billing and invoicing processes
- Coordinate travel arrangements and itineraries for staff
- Order and manage office supplies, ensuring the office is well-stocked
- Handle incoming and outgoing mail and courier services
- Support the team with various administrative tasks and projects as needed
- Ensure office compliance with company policies and procedures
Qualifications :
- High school diploma or equivalent; an associate degree in office administration or a related field is preferred
- Proven experience as an administrative assistant or in a similar administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Ability to maintain confidentiality and handle sensitive information
- Professional demeanor and appearance
- Strong problem-solving skills and attention to detail
- Ability to work independently and as part of a team
- Experience in a professional services firm is an advantage
