Our Client is looking for a Front Desk Specialist to join their team on a direct-hire basis. The ideal candidate will provide essential administrative support to ensure the smooth operation of our office.

This role requires excellent organizational skills, the ability to multitask, and a proactive approach to problem-solving.

This role 100% onsite.

Key Responsibilities :

  • Manage the front desk and reception area, greeting clients and visitors with professionalism and courtesy
  • Answer and direct incoming phone calls, taking messages as necessary
  • Schedule and coordinate meetings, appointments, and conference calls
  • Prepare and edit documents, reports, and presentations
  • Maintain and organize electronic and physical filing systems
  • Assist with billing and invoicing processes
  • Coordinate travel arrangements and itineraries for staff
  • Order and manage office supplies, ensuring the office is well-stocked
  • Handle incoming and outgoing mail and courier services
  • Support the team with various administrative tasks and projects as needed
  • Ensure office compliance with company policies and procedures

Qualifications :

  • High school diploma or equivalent; an associate degree in office administration or a related field is preferred
  • Proven experience as an administrative assistant or in a similar administrative role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Ability to maintain confidentiality and handle sensitive information
  • Professional demeanor and appearance
  • Strong problem-solving skills and attention to detail
  • Ability to work independently and as part of a team
  • Experience in a professional services firm is an advantage
