PROGRAM OVERVIEW :
Pathways to Recovery (PTR) is Philadelphia’s short-term co-occurring disorder treatment partial hospitalization program.
The program is funded by Community Behavioral Health (CBH) and Behavioral Health Special Initiative (BHSI) for Philadelphia residents with co-occurring substance use and mental health challenges.
- Our program works with participants 20 hours per week, for up to nine weeks. We provide a menu of treatment services available each day including individual, group, and family therapy;
- medication-assisted treatment and medication management with our psychiatrist; health care coordination and full-time nursing support;
full-time case management; and full-time peer recovery specialist support.
JOB OVERVIEW :
Field initial calls from a variety of sources that are seeking services. Expediently and satisfactorily complete the referral process to the point of intake.
Support administrative tasks in the intake department. Make it a mission to provide the utmost service possible to the client.
RESPONSIBILITIES :
- Effectively and promptly respond to incoming calls. Provide accurate information in a professional manner. Speak to the caller’s needs and concerns and determine how to best move the process forward on a case-by-case basis.
- Communicate with referral sources and families in a timely manner to obtain necessary information and documents.
- Review information received and write a brief client history.
- Document all communication.
- Keep clear, accurate notes in the database.
- Maintain a caseload of referrals.
- Schedule client appointments / manage the calendar.
- Prepare pre-service files (approx. 20 per week). Confirm appointments.
- Meet with each client on the day of their appointment to review all paperwork for admissions. Demonstrate integrity and empathy across age, gender, and other individual differences.
- Acquire and retain the knowledge necessary to field phone calls and respond quickly and accurately to all inquiries.
- Provide administrative support to the intake department.
- Facilitate an orientation group for participants.

EDUCATION :
- High school diploma or equivalent required
- Bachelor's degree preferred
EXPERIENCE :
- Minimum of one year of experience in a social services or intake department required
- Preferred : Experience in administrative clerical support or case management
