JOB DESCRIPTION
Job Title : Customer Service Rep / Dispatch back up (Full-Time Position)
Department : Sales / Trucking
Reports To : General Manager
SUMMARY
We are seeking a motivated Customer Service Representative with experience in dispatch operations to join our team. The ideal candidate will excel in providing exceptional customer service while providing back up coordinating and managing dispatch activities as needed.
This role requires strong communication skills, attention to detail, and the ability to handle various tasks simultaneously in a fast-paced environment.
KEY RESPONSIBILITIES AND FUNCTIONS :
Includes, but not limited to the following :
Key Responsibilities :
1. Customer Support :
o Answer incoming calls and emails
o Handle inbound customer inquiries via phone and email in a professional and courteous manner
o Provide accurate information regarding products, services, and order status
o Resolve customer complaints and issues promptly to ensure customer satisfaction.
o Enter in orders for home centers and independent stores
o Provide administrative support to sales staff
o Provide customers with pricing and availability of products
o Process credit memos and policy credits
o Maintain price sheets for customers
o Communicate inventory needs to buyers
2. Dispatch Coordination :
o 1+ years of transportation experience
o Scheduling of multiple orders and drops into full truckloads
o Flexible and open to schedule changes
o Proficient in Excel, Word, Teams and Outlook
o Secure outside carriers as needed
o Manage People-Net software for hours and mileage
o Contacts in the freight industry
o Communicate with sales staff and multiple branches
3. Data Management :
o Maintain accurate records of customer interactions, transactions, comments, and complaints.
o Input and update customer information in the database during and after each interaction.
4. Problem Solving :
o Identify and escalating priority issues that require immediate attention.
o Collaborate with internal teams to resolve complex customer issues effectively.
5. Process Improvement :
o Participate in regular meetings and provide feedback to improve customer service procedures.
o Propose and implement improvements in dispatch processes to enhance efficiency and customer satisfaction.
MINIMUM REQUIREMENTS
o Proven experience as a Customer Service Representative or similar role, ideally with a background in dispatch operations.
o 1+ years of transportation experience.
o Excellent multi-tasking, time management and organizational skills
o Possess working knowledge of Federal DOT Regulations
o Flexible and open to schedule changes
o Is comfortable in a fast-paced and growing environment
o Ability to work independently or as part of a team
o Must have excellent verbal and written commination skills
o Proficiency in Excel, Word and Outlook

Must be able to perform job duties for eight (8) working hours plus per day, including outdoor work and being exposed to inclement weather conditions.
