Legal Assistant
The ideal candidate will provide administrative support to attorneys, ensure the smooth operation of the office, and must be fluent in both English and Spanish.
Key Responsibilities
Schedule Management : Coordinate and manage attorney schedules, including setting up client meetings, court appearances, and appointments.
Ensure all necessary materials are prepared in advance and deadlines are met.
Document Preparation & Filing : Draft, proofread, and file a variety of legal documents, including motions, pleadings, contracts, and correspondence.
Ensure all documents meet legal standards and are submitted on time to courts or opposing counsel.
Bilingual Communication : Act as a key point of contact for clients, witnesses, and court personnel, communicating effectively in both English and Spanish.
Translate legal documents or communications when necessary to ensure clarity and understanding for Spanish-speaking clients.
- Case File Management : Assist attorneys with the preparation, maintenance, and organization of case files. Ensure all relevant documents are up-to-date, accurately filed, and easily accessible to the legal team.
- Client Liaison : Serve as a liaison between attorneys and clients, ensuring that clients are kept informed about the status of their cases, answering client inquiries, and addressing any concerns in a timely and professional manner.
- Court Filings & Deadlines : Handle court filings, both electronic and in-person, ensuring compliance with court procedures and deadlines.
Track and update attorneys on important filing deadlines or hearing dates.
General Office Administration : Manage incoming and outgoing mail, answer phone calls, and provide general administrative support as needed.
Order office supplies, maintain office equipment, and ensure the smooth day-to-day operation of the office.
- Billing & Invoicing Support : Assist in preparing and reviewing client invoices, tracking billable hours, and ensuring timely submission of expense reports and billing-related documents.
- Confidentiality & Professionalism : Maintain strict confidentiality of sensitive legal information and ensure the protection of client data.
Demonstrate professionalism and discretion in all interactions with clients, court personnel, and staff.
Project & Task Management : Assist in managing multiple tasks and projects, ensuring that priorities are aligned with attorneys' needs and that deadlines are consistently met.
Qualifications
- Previous experience as a legal secretary or in a similar administrative role preferred.
- Bilingual in Spanish and English, with excellent verbal and written communication skills in both languages.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
