The Opportunity :

We're looking for an Office Manager for our Irvine, California location that can embody excellent customer service and play an important part in the growth of our Private Client base.

Reporting to the head of our Private Client Support organization, you will help our Regional Vice Presidents with correspondence, appointments and administrative tasks while working with our clients.

The Day-to-Day :

  • Schedule / coordinate meeting spaces for potential clients, welcome clients, and maintain office calendars
  • Answer and screen incoming calls to corporate reception lines
  • Route incoming calls to the appropriate party, ensure all calls are answered timely and satisfactorily
  • Keep the office tidy, maintain inventory, and handle administrative tasks such as mail, faxing and filing
  • Assist our Regional Vice Presidents with correspondence, appointments, and administrative tasks
  • Maintain awareness of vendors or non-client persons in office area
  • Handle administrative and operational responsibilities that support team goals, and assist with a variety of special projects

Your Qualifications :

  • 2+ years of office management, reception, or similar work experience
  • Professional and engaging communication
  • Comfortable supporting various personnel and leadership
  • Familiarity with Word, Excel, Outlook
  • Maintain composure and presence of mind when working with volatile customers
  • Strong professional orientation towards client service
  • Instills confidentiality and trustworthiness
  • Display ownership and autonomy independently
  • Exceptional organization and time management skills

Compensation :

  • $50,000 - $80,000 base salary per year in the state of CA - New hires should expect to start at the lower end of the range depending on experience
  • Eligible for a discretionary bonus based on firm and individual performance
