The Administrative Assistant is responsible for partnering with the TOA General Manager to fulfill community obligations in conjunction with the goals and objectives of the Board.
Key areas of focus include administrative support to management and the community, including, but not limited to daily operations, regular interaction with Homeowners, gate operations and programing, compliance management, ARC administration, and overall administrative support.
This position requires a strong commitment to delivering an exceptional customer experience while balancing the needs of many.
JOB DUTIES AND RESPONSIBILITIES :
- Provide administrative support to the HOA General Manager in his / her management of Tetherow Homeowners Association.
- Assist GM with pool and gate operations including access remotes and programing.
- Welcome visitors to the TOA office and assist them as needed.
- Answer phones, update website and management software, file management, scanning, copying, and data entry.
- Assist GM with compliance, inspections, and on-site maintenance needs.
- Assist the Architectural Review Administrator in his / her administration of the architectural review process
- Assist with documentation of all Board-approved policies, rules, and regulations.
- Update and improve master procedures manual and record keeping.
- Assist GM with accounts receivable payments and delinquent owner accounts.
- Prepare Board packets, agendas, and calendars in preparation for scheduled and unscheduled meetings.
- Work independently, with little oversight
- Prioritize tasks according to safety, urgency, and seasonal needs.

QUALIFICATIONS :
- Experience in the community management industry is preferred.
- Knowledge of CC&Rs and other governing documents is a plus.
- Solid knowledge of Microsoft Outlook, Excel, and Word.
- Conflict resolution and mindfulness skills.
- Ability to provide high-level customer service with astute attention to detail and organization.
- Ability to manage workflow amid shifting priorities.
- Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy.
