We are seeking a dynamic and experienced individual for a full-time on-site role as a Medical Office Manager - RN in Columbus, IN.
The successful candidate will oversee day-to-day medical practice operations from staff management, and communication within the office, provide exceptional customer service, and handle receptionist and nursing duties.
HR related duties :
Organize, maintain, and supervise staffing schedule - record hours worked, vacation / sick days, and other paid time off.
Ensure staff stays within policy and when / if violated then address it accordingly
- Process employee's payroll
- Coordinates and ensures sufficient staffing coverage when somebody calls in.
- Oversee staff’s performance- job role / description / expectation
- Perform and conduct employee performance reviews -every 3 months to 6 months. Implement any improvement plan and / or disciplinary action, including ending employment.
- Plan, implement, and oversee office policies and procedures. Assist executive team in improving office policy.
- Hire new employees by designing and posting a job description, conducting interviews, and making hiring decisions. The executive team may assist when needed.
- Works cooperatively and respectfully with the Providers of the clinic this includes providing timely organizational information as well as seeking their input in clinic changes and staffing.
- Keep office morale high and positive. Improve customer service and patient satisfaction.
Office day-to-day upkeep / operations :
- Keep inventory, and order supplies and equipment necessary for the efficient operation of the office. May assign another staff for assistance.
- Responsible for paying office utilities on time i.e. automatic setup, etc.
- Responsible for opening office mail in a timely fashion and addressing / distributing it appropriately
- Attend and keep Meeting minutes in a detailed manner on the shared drive.
- Responsible for procurement by engaging with various vendors, obtaining quotes, updating the executive team, and seeking their input, as needed.
- Schedule drug rep lunches.
- Acts as the organization representative with patients and staff -using knowledge, listening, and critical thinking skills to address their questions and concerns.
Billing
- Serve as liaison on the clinic end to provide / assist the Billing team (outsourced) - provides documents that are required, uploads them into the system, and keeps track of charges.
- Make bank deposits and provide receipts to the appropriate person / resource. Keep a daily tally of accounts.
Nursing duties :
- Address all patient inquiries related to medications, labs, and medical concerns.
- Communicate with providers about patients and document appropriately.
- Guide staff about how to de-escalate situations.
- Prior authorization.
- Implement protocol / policy to ensure quality healthcare delivery.
- Ensure medical samples are being kept and dispensed per law.
- Order and ensure medical supplies are kept appropriately, provide quality check measures, and keep detailed records.
Qualifications
- Medical Office and Medicine expertise
- Strong Communication skills
- Strong problem-solving and critical-thinking skills
- Customer Service and Receptionist Duties experience
- Attention to detail and organizational skills
- Ability to work well under pressure
- RN license in the state of Indiana
- Experience in healthcare administration is a plus
- Knowledge of electronic health records systems
