BASIC FUNCTION
This is an entry level working supervisor position that would supervise clinic administrative support staff. As a working supervisor, you will serve as a liaison and work closely with faculty, staff, residents, and visitors on a daily basis.

ESSENTIAL FUNCTIONS :
- Responsible for recruiting and hiring sufficient front desk personnel to carry out the functions of the front desk.
- You will also be responsible for completing performance evaluations on direct reports. Other tasks associated with this role, preparing work schedules, counseling staff as needed, hire and terminating employees, payroll and reviewing time off requests (approval or denial)
- Responsible for staff orientation, in-service, and training programs.
- Make daily rounds to assure front desk personnel are performing required duties and following appropriate procedures.
- Responsible for answering and operating the telephone console, determining nature of call and directing caller to appropriate individual or department.
- Responsible for greeting, directing, and giving directions / information to visitors, guests, residents, sales representatives, employees, etc.
- Responsible for operating the intercom and paging system, locating personnel as requested.
- Must communicate emergencies, problems, or non-routine events to supervisor and / or appropriate personnel.
- Must maintain a written communication log of events for each shift.
- Responsible for preparing and maintaining employee records as instructed.
- Attend and participate in in-service education classes and on-the-job training programs as directed
- As a supervisor you will partner with your direct supervisor and HR partner to handle employee relation concerns (promotions, transfers, suspensions, discharges, and first level grievances).

WORKING CONDITIONS :
- Works beyond normal working hours on weekends and holidays, and on other shifts when necessary. Being available 1st, 2nd and 3rd Shifts)
- Works primarily in reception and mail room area
- Subject to hostile and emotionally upset residents, family members, etc., and is involved with personnel, residents, visitors under all conditions and circumstances
- Is subject to frequent interruption
SPECIFIC REQUIRMENTS :
- Must be able to read, write, speak, and understand the English language.
- Must possess the ability to make independent decisions when circumstances warrant such action, to follow instructions, and to accept constructive criticism.
- Must have the ability to deal tactfully with personnel, residents, visitors and the general public.
- Must be calm and level-headed in emergencies, have patience, tact, cheerful disposition and enthusiasm, as well as must be willing to handle residents, staff and visitors based on whatever maturity level at which they are functioning.
- Must be able to cope with the mental and emotional stress of the position.
- Must be well groomed.
PHYSICAL AND SENSORY REQUIRMENTS :
- Must be able to move intermittently throughout the work day.
- Must possess sight / hearing senses or use prosthetics that will enable these sense to function adequately so that the requirements of positon can be fully met.
- Must be in good general health and demonstrate emotional stability.
- Must be able to operate office and business machines.
- Must have flexibility, persona; integrity, and the ability to work effectively with other personnel.
