The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.

The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Program Coordinator reports directly to the Department Administrator and provides administrative support to the Director of Virtual Health Services and Director of Simulation.

Individual supports and coordinates the development, implementation, and operations of Virtual Health, Simulation and Innovation programs in the Department of Emergency Medicine.

The incumbent will collaborate with physician leadership, administration, providers and technical support to triage competing priorities in multiple job domains.

Individual must adapt to changing technology, and coordinate changes with stakeholders to maintain the most effective user experience.

The incumbent will assist leadership in developing and ensuring appropriate internal and external user experience, communication and support and will provide guidance to project team members.

Responsibilities

Virtual Health Services

Strategic Partnerships :

  • Represents and serves as administrative liaison for the Virtual Health Program the Faculty Practice Organization and NYP Leadership and outside vendors.
  • Facilitates the management of clinical programs and maintains strong working relationships with NYP Facilities, NYP IT, Telecom, Marketing, Patient Services, and the NYP Digital Innovations team.
  • Plans and guides all assigned project processes from start to finish, requiring strong communication and collaboration with key stakeholders through all stages of initiation, planning, implementation and execution.

Operations :

  • Maintains operations for multiple telehealth use cases such as Virtual Urgent Care, and assists in developing future models such as TeleSepsis.
  • Schedules providers for Telehealth shifts in Epic and adjusts shift changes when requested
  • Organizes and maintains all division documentation, project lists with Trello and listservs
  • Coordinates monthly quality reviews and meetings which entails pulling charts for patients seen the month prior and distributing them to physicians for review, collating the results and working with the Quality Director to give feedback to providers in scorecard format consistent with the rest of the Emergency Department
  • Maintains and edits provider training manual to reflect up-to-date technology and clinical protocols
  • Onboards and trains new providers on system and protocols and provides real time support for user concerns as well as state licensure and provider due diligence
  • Assists in creating presentations and preparation for lectures, meetings, and conferences, and supports Virtual Health education endeavors for Medical Student Clerkships and Resident Rotations
  • Networks with NYP and CUIMC Marketing to provide updated information regarding telehealth service.

Reporting & Technology :

  • Responsible for creating multiple bi-weekly, monthly quarterly and annual data reports for various recipients including Board of Trustees, Emergency Department Chair and Vice Chair of Quality.
  • Validates and tracks operational metrics and clinical quality indicators.
  • Recognizes and pursues opportunities for process improvement using data analysis.
  • Serves as the liaison to the EPIC CLG for system optimizations.
  • Remains abreast of virtual health software and hardware, disseminates weekly reminders for programmatic and technology changes, and assists in device and signage set-up.
  • Generate reports and work with Excel, EPIC, Tableau, Q Reviews, PowerPoint, Word and Trello

Patient Advocacy :

Collects data on Q Reviews for patient experience and relays results to respective parties including Revenue Cycle Director, Digital Health Team, Quality Vice Chair.

Simulation

Strategic Partnerships

  • Serves as the primary administrative liaison for all Simulation initiatives including the Columbia Co-Laboratory for Extended Reality in Health Professions.
  • Facilitates the coordination of clinical programs and maintains strong working relationships with the Mary & Michael Jaharis Simulation center (CUIMC), Helene Fuld Health Trust Simulation Center (school of nursing), Margaret Wood Center for Simulation and Education (CUIMC Anesthesiology), Weill Cornell Simulation Center (Dept.

Emergency Medicine), CUIMC Facilities, and CUIMC / NYP IT.

Plans and guides all project processes from start to finish, requiring strong communication and collaboration with key stakeholders through all stages of initiation, planning, implementation, and execution.

Operations :

  • Prepares and disseminates the agenda for simulation leadership meetings, prepares minutes and follows up with tasks
  • Provides triage and proactive follow-up on related action items and correspondence.
  • Assists with submitting updates to the simulation departmental webpage and maintenance of the Simulation Teams site.
  • Assists in creating presentations and preparation for lectures, meetings, and conferences, and supports all Simulation education endeavors (e.

g. Simulation Fellowship).

  • Leads efforts surrounding simulation sessions including coordinating courses, acquiring associated equipment, preparing schedules and supporting guest speakers and reserving conference / classrooms
  • Coordinates scheduling and training of standardized patients (i.e. embedded participants) for simulation interactions
  • Organizes and follows up with simulation division budget utilization
  • Provides workshop set-up and breakdown at the designated site for the simulation session. Sites include but are not limited to Milstein, Allen, CHONY and Lawrence Hospitals

Reporting & Technology :

  • Creates and maintains a simulation calendar of events and disseminates / advertises events to the department.
  • Organizes and collects program metrics from both new and ongoing programs, and prepares quarterly and year end summaries of Simulation utilization and other process or outcome measures.
  • Remains abreast on current simulation technology being utilized at NYP / CUIMC including MedSimStudio, Human patient simulators, VR headsets (Quest2), 3d printing hardware and materials (S2 Ultimaker), and task trainers.
  • Develops and maintains a provider training manual, orients and onboards providers for new technology and assists with departmental simulation resource utilization, sign-up, and setup
  • Cross covers other related administrative positions and performs other duties as assigned.

Minimum Qualifications

Bachelor's degree or equivalent in education, training and / or experience plus at least three years related experience required.

Required Knowledge Skills and Abilities

  • Must work independently and have sound judgement in decision making
  • Working knowledge of EPIC, Cognos and ShiftAdmin for scheduling
  • Must have proficiency in reporting and data analytics and the ability to work with reporting tools including Tableau, Qualtrics, Trello, and Q-reviews
  • Must possess excellent customer service recovery skills.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment is required.
  • Ability to lead, motivate, and direct a workgroup required
  • Ability to elicit cooperation from a wide variety of sources including team members and other departments required.
  • Must possess excellent written and oral communication and interpersonal / organizational skills.
  • Must be proficient with Microsoft Office Suite, including PowerPoint, Excel, Outlook, Visio and Word.
