Title : Administrative Assistant (Full-Time or Part-Time)
Reports To : Headmaster
Organizational Summary : Aquinas Classical Academy is a classical liberal arts high school in the Catholic tradition serving Catholic families primarily on the Kitsap Peninsula.
Founded and incorporated in 2018, Aquinas Classical Academy is a Washington approved high school, recently accredited by NAPCIS (National Association of Catholic and Independent Schools) in 2024.
Position Summary : The Administrative Assistant, under the direction of the headmaster, provides direct support to school programs, data management, facility coordination and community outreach.
This person would also collaborate with the Dean of Faculty as needed.
Duties and Responsibilities :
- Student Enrollment
- Maintain the student enrollment database (FACTS) as part of the admissions process
- Schedules family interviews
- Enters demographic information into the information system as well as working with the Board President and Executive Director on Financial Aid applications
- Attendance
- Assists with the management of daily students’ attendance
- Provides attendance reports to the headmaster and works to coordinate communications to both teaching staff and parents as necessary
- Academics
- Assist with the back-end preparation and distribution of progress reports and report cards
- Other Duties
- Greet visitors
- Field phone calls to appropriate personnel
- Check and respond to emails
- Schedule meetings as requested
- Collaborate with the Headmaster to prepare family and community communications
- Place, track and inventory (as necessary) supply orders
- Assists the Headmaster with the teacher evaluation process (Calendaring weekly), scheduling Goals Conferences, pre / post conferences, and final evaluations
- Assists the administrative team with projects related to budget, faculty in-services (professional development days), facilities, and marketing
- Supports small and large school events
- Process paperwork in the hiring of new employees, promotions, and retirements
- Securely maintains student records and grades
- Coordinates office operations and serve as a liaison with employees and job applicants
- Maintains personnel files

- Proficient with Microsoft program and able to navigate new management systems
