3. Summary of the opportunity
- Client Overview : We are hiring for the Microsoft Advertising (MSA) Marketing team, which is in the middle of a big transformation in terms of presenting themselves as a must-buy for advertisers and product portfolios.
- Role Summary : As an Executive Business Administrator, you will support the General Manager and team of Microsoft Advertising.
You will be responsible for complex calendaring, travel arrangements, meeting coordination, expense reports, special projects, and maintaining administrative processes.
This role offers the opportunity to work in a dynamic, fast-paced environment and contribute to the team's success.
4. What are the key responsibilities?
- Provide highly complex calendar support for the GM, ensuring accuracy and timeliness.
- Coordinate meeting responsibilities, including logistics, action items, note-taking, and content preparation.
- Manage domestic and international travel scheduling, including logistics and itineraries.
- Organize and manage logistics for team meetings and offsites, including agenda management, booking space, catering, and material preparation.
- Handle expense reports for the GM and Leadership Team.
- Work with the Business Manager to manage the team's budget.
- Assist with special projects as assigned by the manager(s).
- Maintain org charts, email distribution lists, and aliases.
- Act as the point of contact for meeting facility needs.
- Maintain administrative processes to reduce redundancy and improve accuracy.
- Maintain confidentiality and exercise good judgment and discretion.
- Multi-task and prioritize tasks effectively in a fast-paced environment.
- Manage headcount tracking and onboarding processes.
- Collaborate with other business administrators within MSA and across Microsoft.
5. What experience are we looking for to drive success?
- MUST-Have Skills and Qualifications :
- 10+ years of experience working with Executive level managers in an administrative role.
- Strong planning, organizational, time management, and problem-solving skills.
- Excellent communication skills, both written and verbal.
- Proficiency with Microsoft productivity software and systems.
- Attention to detail and ability to handle multiple tasks simultaneously.
- Preferred Skills and Qualifications :
- Prior experience in a fast-paced and dynamic environment.
- Familiarity with Microsoft processes and systems.
- Previous experience as an Executive Admin Assistant under a GM or higher.
