General Purpose of Job :

The Pharmacy Inventory Technician will oversee the planning, implementation, and management of the vaccine distribution program.

The inventory technician will play a critical role in ensuring the efficient and equitable distribution of vaccines to eligible individuals, coordinating with internal and external stakeholders, and monitoring vaccine inventory and administration.

This role will ensure compliance with the Texas Vaccine for Children (VFC) program. The inventory technician will be responsible for submitting the required vaccine management documentation, logs, and any other necessary information.

Responsible for maintaining proper levels of vaccine, returning outdated vaccines, and keeping pharmacy leadership abreast of any and all inventory issues.

Additionally, the inventory technician will support the Pharmacy Buyer with daily activities related to ordering, receiving, and distribution of all pharmaceutical supplies.

Under the guidance and supervision of the Authorization Specialist Pharmacist, the inventory technician will also assure that charge queues are reviewed to assure timely submission of claims and perform audits of medication reimbursement.

Support the pharmacy buyer with the daily activities related to inventory control including ordering, receiving, and distribution of all pharmaceutical products.

Vaccine Distribution Planning Under the guidance of pharmacy leadership (Director of Pharmacy or Assistant Director of Pharmacy), develop and implement a comprehensive plan for vaccine distribution, including allocation, storage, transportation, and administration logistics.

Oversee vaccine administration by ensuring adherence to vaccination schedules, VFC regulations, and documentation requirements.

Maintain accurate records of vaccine inventory, distribution, and administration.

Generate reports to track progress, identify trends, and inform decision-making.

Ensure quality assurance measures to with respect to the safety, efficacy, and integrity of vaccine distribution and administration processes, including cold chain management and vaccine storage protocols.

Ensure compliance with all applicable regulations, guidelines, and reporting requirements from regulatory agencies, such as the CDC, FDA, and Texas VFC.

Responsible for day-to-day operations of the Vaccine for Children (VFC) Program, staying up to date with trainings on routine and emergency standard operating procedures (SOPs) for vaccine ordering, storage, handling, transport, and inventory management.

Notifies the Director of Pharmacy or Assistant Director of Pharmacy of any problems related to the timely acquisition of medications and supplies.

Coordinates receipt and processing of medication and supply shipments. Ensure VFC vaccines are separated from purchased vaccine and only dispensed to patients who meet the criteria established by VFC.

Processes all invoices by indicating amounts received, date of receipt, problems with shipment and shortages noted.

Maintains appropriate documentation and copies of all purchase orders and corresponding records.

Works with pharmacists, nurses, and physicians to assure adequate quantities of all vaccines are always maintained.

Maintains logs, records, and other required documentation accurately and on a timely basis. Files in appropriate locations and submits to regulatory bodies as required.

Arranges for acquisition of medications on an urgent or emergency basis when needed.

Coordinate delivery and proper storage for off-site clinics that meet eligibility.

Coordinates returns of all expired or excessive quantities when applicable.

Conducts quality monitors, collects data, and completes documentation related to the inventory management process as assigned.

Oversees the removal and processing of all recalled pharmaceutical products form the pharmacy and patient care areas.

Follows up on back-orders, drug recalls, and problem orders identified by the pharmacy staff and wholesaler.

Informs departmental staff of problems and issues pertaining to pharmaceutical products as needed.

Support pharmacy during annual departmental physical inventory of all pharmaceuticals, including controlled substances.

Makes suggestions for improving efficiency or alternate, product selections resulting in price reduction or savings.

Review assigned queues, daily, within the Electronic Medical Record (EMR) to ensure timely submission of claims.

Audit and ensure expected reimbursement of -cost medications under the guidance of the Authorization Specialist Pharmacist.

Routinely checks all available means of communication including e-mail, mail and voice mail if applicable.

Performs other related duties or special projects as assigned.

Education and / or Experience :

High school diploma or general education degree (GED) required.

Possess current pharmacy technician registration in the State of Texas required.

Possess current National Pharmacy Technician Certification (CPhT) required.

Minimum 3 years as a certified pharmacy technician experience in a hospital setting.

Minimum 1 year of previous pharmacy buying experience in a hospital setting.

Advanced Excel training.

Prior experience utilizing wholesaler purchasing systems.
