This position will be a hybrid work arrangement, which translates to 2-3 days minimum per week in the office.

This role is responsible for providing oversight and guidance for global benefits strategy, and functional design, across 14+ global offices working in close partnership with EMEA and Asia-Pac regional HR teammates who lead day to day benefits administration locally.

The role is also responsible for benefits and life events administration (including but not limited to sophisticated leaves and vendor oversight) specific to our Americas region (US, Canada, Colombia, Mexico).

HarbourVest’s benefits platform spans from healthcare, income protection and retirement plans, to wellbeing, leaves and accommodations, and time-off programs.

The ideal candidate will also assist with the management of the Retirement Committee ensuring that adequate processes and controls are in place to meet our fiduciary responsibilities.

The role also has management responsibilities and will provide direction, prioritization, coaching, and general day to day supervision to a Benefits Analyst to ensure the successful delivery and administration of all programs and processes across the Americas.

This position will be a hybrid work arrangement.

The ideal candidate is someone who :

  • Can demonstrate the ability to collaborate across HR, Finance, IT and other key partners across the firm and effectively manage relationships with 3rd party vendors.
  • Is a highly flexible self-starter, who is able to respond to a dynamic and fast-paced environment, with projects spanning multiple countries and teams.
  • Possesses a powerful sense of ownership, acts quickly and can consistently deliver against tight deadlines with accuracy and completeness.

What you will do :

  • Act as a subject matter expert in benefits design, US-related compliance, regulations, and practices at the Federal, State and local levels (Massachusetts in particular) related to all types of life events, in particular sophisticated leaves of absence
  • Maintain and assist with continuous improvement of our benefits programs in the America's; ensuring alignment to both local regulations as well as our global principals
  • Assist with the selection and implementation of new benefits related to new office openings including vendor selection, compliance and cost analytics working closely with regional HR teammates.
  • Lead all aspects of complex leaves advice and case management.
  • Manage the administration and oversight of health insurance, income / disability protection, retirement, time-off and leaves as well as well-being related benefits across the Americas working directly with designated brokers and vendors
  • Manage vendor relationships including contracts, invoices, and the reconciliation of bills with Finance
  • Respond to employee queries related to benefits and life events via our newly implemented Workday Help
  • Act as primary owner of benefits related data (HRIS- Workday)
  • Run the successful completion of audits and adhere to compliance standards ongoing
  • Lead the oversight and implementation of benefits and life events in our HRIS / Workday system. Specifically, maintenance of and enhancements to our business processes including Open Enrollment, qualifying event changes, data management, reporting, employee experience, etc.
  • Mentor and train other HR teammates to ensure operational excellence including one direct report.
  • Participate in special projects (globally or locally) across broader Human Resources team as requested.

  • Strong interpersonal and communication (verbal & written) skills; demonstrated customer service’ skills; ability to interact with all levels of employees across the firm.
  • Experience managing 3rd party vendor relationships including administration, contract negotiation, etc.
  • Strong Microsoft PowerPoint and Excel skills including ability to analyze large amounts of data (including at a minimum use of pivot tables, v-look-ups, if-statements and other Excel formulas as well as Excel charting / graphing skills).
  • Solid attention to detail and a zero-defect’ mentality.
  • Knowledge of Workday specifically benefits and absence modules.
  • Self-motivated with proven track record to multitask and handle multiple deadlines in a fast-paced environment.

Education Preferred

Bachelor of Arts (B.A) / Bachelor of Science (B.S) or equivalent

Experience

  • 10+ years HR experience specific to benefits (payroll and / or absence management experience a plus).
  • Experience owning benefits modules of HRIS systems; Workday experience strongly preferred.
  • Experience with all facets of global benefits administration (e.g., Americas, EMEA, Asia-Pac).
  • Experience providing benefits consulting to the HR Team and business leaders.
  • Experience with US federal / state laws and regulations related to labor laws and benefits administration required.
