Position Summary :

The Center for International Media Assistance (CIMA) is a knowledge platform within the National Endowment for Democracy that is dedicated to supporting independent media as a cornerstone of democracy assistance.

CIMA publishes action-oriented research, supports communities of learning, and convenes events.

The Program and Editorial Assistant shoulders a wide range of administrative, logistical, financial, programmatic, and editorial responsibilities in support of CIMA’s work.

Reporting to CIMA’s Deputy Director, the program and editorial assistant position provides candidates with an excellent opportunity to improve their knowledge of media development, democratic development, and international affairs, and introduce them to the media development and democracy assistance communities.

This position will support CIMA’s administrative tasks and assist with editorial tasks for publication of CIMA’s reports and blogs.

With experience, the successful candidate can take on progressively more responsibility.

Responsibilities : Administration

Administration

  • Coordinate all aspects of financial procurement and payments, including developing contracts with consultants and vendors, preparing purchase orders for payments, and liaising with contractors and the NED finance team
  • Assist with travel logistics, including booking flights, assisting in visas, procuring hotels and conference facilities, and tracking expenses
  • Support annual budget planning and budget preparation
  • Track expenses against CIMA's annual budget, developing budget projections, and conducting regular financial analysis
  • Support Deputy Director to produce regular financial reports and procurement updates
  • Assist in the production of events, including ordering catering, booking rooms, and setting up events
  • Support scheduling for large events and workshops

Editorial Support

  • Assist in last-minute production of CIMA reports, including copy-editing, liaising with external editors and consultants, sourcing images and graphics in line with copyright rules, ensuring adherence to CIMA's style guidelines, and publishing digital reports and blogs on WordPress
  • Assist editorial team to track progress on reports, and keep workflows updated in CIMA's project management software
  • Support CIMA's editorial team to draft concept notes for report ideas, and conduct background research for topics as required
  • Work with the editorial team to organize editorial brainstorm meetings and to solicit ideas for reports and blogs from potential authors
  • Support Deputy Editor in all aspects of publishing CIMA's blog, including liaising with contributors, copy-editing, sourcing images, and publishing

Qualifications :

  • Bachelor's degree required; advanced studies or graduate degree preferred
  • Prior experience with administrative tasks and financial processes, including procurement and payments
  • Proficiency with Microsoft , including Excel
  • Experience with project management tools and processes
  • Familiarity with Chicago Manual of Style
  • Prior experience with WordPress is an asset
  • Knowledge of international media and democracy issues
  • Experience living and working abroad is an asset
  • Excellent written and oral communication skills
  • High degree of organization and initiative
  • High attention to detail and the ability to multitask
  • Authorized to work in the United States
