PositionSummary :
Thepurpose of this position is to support the daytodayoperations of the SAMPLE COMPANY. The incumbent inthis position will work closely with theBoard of Directors DeputyDirector and Executive Director to manage the office including record keepingdatabase management and hygiene scheduling meeting preparation andsupport and coordination of the Executive Director and D eputy Directors activities.
EssentialDuties and Responsibilities :
ExecutiveAssistant Responsibilities
AssistExecutive and Director s with projects research and tasks as needed .
Manageexecutives and Directors schedule s and communications including the proactive arranging andscheduling ofmeetings events travel andbreaks.
Draftkey communications correspondences and presentations to and for the Boardof Directors andcommittees .
Prepare and distribute briefing packetsann ual quarterly and monthly reports andother collateral as assigned bymanagement
Arrang e meetings for internal team that include Directors i .e. staffmeetings and meetings among staff and / or Boardmembers.
Managethe invitation process and follow up with Board Membersand elected officials to attend events.
OfficeManagement Responsibilities
Manageall general office management dutiesincluding work orders purchases officesupplies generalorganization incoming and outgoing mailsubscriptionsvendors Mobile IT and phoneaccounts .
Setup and clean up after inofficemeetings .
Serveas internal subject matter expert for the software system ensuring that data within iscurrent and usable r unning reports andanalytics as required andensuring that all team members understand the functionality anduse of the system.
Inputdata into software system including but not limited tomeeting notes research pertinent files donor sponsorship andmembership contributions.
Provideevent support to SAMPLE COMPANY staff and volunteers asneeded.

Experiencemanaging or supporting the internal operations of office management general support to externallyfacing leaders budgetdevelopment and management project andcontract management.
Provenability to manage multiple projects on time and on budgetsimultaneously.
