Tradeshow Event Coordinator

We’re excited to be tabling from December 4th to 8th in Seattle, WA, and are looking for a Tradeshow Event Coordinator to help us execute a successful and engaging trade show presence.

Job Summary :

We are seeking an Event Coordinator to help us with our upcoming trade show. You will collaborate with our marketing director and management to plan, execute, and evaluate our booth at the ASHA conference.

You’ll handle everything from initial planning and logistics to setting up and tearing down the event.

Responsibilities :

  • Collaborate with management and the marketing director to plan trade show events
  • Coordinate event logistics, including booth design and setup
  • Ensure all materials and promotional items are ready and arrive on time
  • Set up and tear down the booth at the event
  • Manage vendor contracts and relationships to ensure smooth operations
  • Evaluate event outcomes and provide post-event feedback and recommendations for improvements
  • Stay within the trade show budget and reconcile invoices post-show
  • Organize and manage inventory of trade show materials
  • Work with internal departments to ensure marketing materials and samples arrive on time
  • Conduct market research on attendees and competitors to develop marketing strategies
  • Adhere to all legal, health, and safety regulations during the event

Qualifications :

  • 2+ years of experience managing trade shows or large events
  • Previous experience with event logistics, shipping, and vendor management
  • Strong organizational and time management skills
  • Excellent communication and negotiation abilities
  • Ability to work in a fast-paced environment and manage multiple projects simultaneously
  • Outgoing and energetic personality, with a knack for problem-solving
  • Knowledge of KPIs and marketing strategies for trade show events
  • Proficiency in Microsoft Office, Google AdWords, and web analytics
  • Familiarity with digital marketing tools, content management systems, and SEO techniques
  • Bachelor’s degree in public relations, marketing, or a related field preferred
