Description
Manage the day-to-day operations of all district wide academic competitions and extracurricular activities including but not limited to budgeting, scheduling, handling logistics, negotiating with vendors, updating senior management, managing branding and communication, and staffing.
- Manage internal resources and third parties / vendors / partners for the successful execution of programs and special projects.
- Develop detailed plans to monitor and track progress and ensure that all programs are executed on time, within scope, and budget;
manage changes to the program scopes, schedules, and costs using appropriate verification techniques.
- Supervise a team of coordinators and delegate program tasks based on staff members’ individual strengths, skill sets, and experience levels, and provide support and motivation to staff members throughout the execution of each program.
- Interpret and enforce district rules and regulations regarding after-school expansion programs.
- Supervise the activities of the department following the district’s policies and applicable laws; responsibilities include interviewing, hiring, and training employees;
planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
- Work with the Procurement Services Department to develop and score RFPs for contracts for goods and services associated with Student Activities.
- Collaborate with Communication Services to disseminate information to schools and stakeholders regarding the Student Activities Department.
- Collaborate with various departments to implement workshops, tournaments, and academic competitions for students. Departments include but are not limited to Custodial Services, Graphics, Accounts Payable, Legal Services, Educational Technology, and Facility Services.
- Manage the districtwide documentation and tracking of student and teacher involvement in extracurricular activities, including all related data collection to be reported through PEIMS requested by TEA.
- Manage the process of researching and selecting study materials for academic competitions.
- Manage all Student Activities’ extracurricular programs including educating coaches on department policies and provide information to program coordinators, principals, and teachers regarding district policies.
- Manage clinics and workshops for coaches, principals, and students.
- Maintain accurate records of teacher agreements, training / meeting attendance, and program participation for stipend verification purposes.
- Promote program involvement at campuses.
- Confer regularly with teachers to identify areas of need and visit campuses as necessary.
- Compile and maintain all required physical and computerized reports, records, and other documents.
- Comply with policies established by federal and state law, State Board of Education, and district policies.
- Evaluate programs and provide growth opportunities.
Qualifications
- Bachelor's degree from an accredited university in a directly related field; Master's degree from an accredited university preferred.
- Valid Texas Teacher Certificate with required endorsements for subject and subject level assigned preferred.
- 5 plus years in direct experience.
- Demonstrate general knowledge of event planning.
- Demonstrate knowledge of extracurricular programs.
- Demonstrate ability to interact and communicate effectively with students, staff, and parents.
- Demonstrate ability to define problems, collect data, establish facts, and draw conclusions.
- Demonstrate ability to analyze facts and exercise sound judgment in arriving at conclusions.
- Possess good communication skills.
- Demonstrate ability to effectively present information and respond to inquiries from district personnel, parents, and the general public.
