Executive Assistant to the CEO (with occasional support for the Co-founder and President)
We are seeking an experienced and highly organized Executive Assistant to support a CEO, and occasionally the Co-founder and President.
This role is pivotal in ensuring smooth operations by managing critical aspects of the CEO’s schedule, travel, and meetings.
The ideal candidate will be a proactive and trusted partner who can navigate high-pressure situations with discretion and professionalism.
Key Responsibilities :
- Complex Calendar Management : Handle heavy and intricate calendaring, including scheduling and coordinating meetings, events, and appointments, while anticipating potential conflicts and ensuring all details are in place.
- Travel Coordination : Arrange both domestic and international travel, including booking flights, accommodations, ground transportation, and creating detailed itineraries for the CEO.
Must be able to manage last-minute changes and ensure seamless travel experiences.
- Expense Reporting : Reconcile and manage expense reports, ensuring accuracy and timely submissions for all travel and business-related expenses.
- Meeting Attendance & Follow-Up : Travel with the CEO domestically and internationally to attend investor and board meetings.
Record detailed meeting minutes and track follow-up action items to ensure accountability and progress.
Conference Research & Networking : Conduct thorough research on attendees and key players at domestic and international conferences.
Identify important contacts the CEO should prioritize for networking opportunities.
Agenda Preparation : Prepare comprehensive agendas and briefings for the CEO to ensure she is fully informed and well-prepared for travel, meetings, and key engagements.
Additional Expectations :
- Calendar Oversight : Have full access to the CEO’s calendar, including her travel and meeting times. Exercise discernment in arranging or rescheduling meetings as necessary.
- Availability : Be responsive to the CEO outside of normal business hours, especially during periods of travel, to handle urgent matters or adjustments.
- Discretion & Initiative : Demonstrate a high level of discretion and judgment when managing sensitive information and making decisions on the CEO’s behalf.

Must-Haves :
- Extensive experience in complex calendaring and travel management
- Ability to handle domestic and international travel arrangements
- Proficiency in expense report reconciliation
- Willingness to travel as needed for investor / board meetings and provide comprehensive meeting support
- Strong research skills to identify key industry players for the CEO to meet at conferences
- Availability to work outside regular hours when required
