JOB SUMMARY
The Administrative Coordinator is responsible for the overall management of the facility’s operation in the absence of Administrative staff and Department Directors.
Coordinates, supervises and administers patient and family issues and department issues occurring during the assigned shift.
Responsible for providing high quality service to and acting as liaison with patients and their families, physicians, and employees.
Responsible for the efficient operation of the facility and optimum use of resources to maximize productivity and minimize costs.
Carries out responsibilities in accordance with the organization’s policies and applicable laws.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Responsible for the overall direction, coordination, and evaluation within areas as assigned.
- Assumes responsibility as designee for administration duties in the absence of an administrative officer during scheduled duty time.
- Assumes responsibility as designee for all department directors in their absence during scheduled duty time.
- Fosters teamwork and builds mutual understanding, respect and confidence among nursing personnel and between all departments.
- Works cooperatively with outside officials / agencies when dealing with patient or employee issues.
- Documents significant events / problems occurring during the shift in the administrative log with appropriate resolution and / or follow up.
- Communicates with Administrator on-call, Department Head or Unit Director when seeking assistance in decision-making.
- Keeps current in changes of policy and procedure and hospital activities.
- Makes decisions as necessary and accepts accountability for those decisions involving other shifts, nursing units or departments.
- Identifies potential critical situations and initiating immediate action.
- Assists department directors in investigating patient, visitor, employee and physician incidents. Takes immediate action to resolve it, including completion of appropriate reports ad follow up if a sentinel event.
- Promptly reports major incidents / problems to the appropriate department head for follow up action.
- Communicates potential medical / legal problems to Risk Management.
- Makes rounds throughout both hospitals at least once per shift in every department that has on duty staff.
- Counsels, evaluates and advises staff in relation to sentinel events.
- Assists staffing office as needed in coordinating and maintaining appropriate levels and numbers of personnel according to staffing systems to provide for patient care needs.
Evaluates all areas for effectiveness of staffing decisions during shift and makes adjustments as needed.
Checks with staffing office and assists in reviewing staff for oncoming shift and sees that adjustments are indicated, i.
e., cancels staff. Consults with unit director / charge nurse / staffing coordinator.
Collaborates with bed board and admitting and coordinates beds to in-house transfers, direct and ER admissions as well as intra hospital transfer between both hospitals.
Considers staffing, diagnosis, and patient needs when making the assignment.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
- Associates Degree or Diploma Nursing Program required; Bachelor of Nursing (BSN) preferred.
- Current RN licensure for the State of Florida.
- Three to five years management experience as solid charge or supervising RN required.
- Basic Life Support (BLS) certification required from the American Red Cross or American Heart Association.
- CEN or CCRN preferred.
- Intermediate computer knowledge : Uses Microsoft Word, Excel, Outlook, and Windows.
