As a Fleet Administrator you will provide support in all activities related to Fleet operations by preparing and maintaining accurate records of vehicles, drivers, insurance and required regulatory filings and reporting.
Primary Responsibilities
- Assists with administration of fleet procurement, including rentals, rental returns, purchase of new equipment and / or disposal of old assets.
- Processes data administration and reporting by maintaining master list(s) and breakdown of Fleet financials; including equipment (tools, on / off road units and any attachments, stocked / issued items under Fleet) and other support assets.
- Complies with administration; data entry, tracking and reporting of all vehicle and driver compliance (annual inspection, bit inspection, all Fleet permits (PERP, weight, etc.
and other local, state or federal mandated inspections or permits.
- Records and provides weekly reporting on Fleet employees to Fleet Manager(s); time sheets, credit card reconciliations, and other.
- Serves as main point of contact and resolution coordinator for Managers and Fleet on all vehicle citations, licensing, registration, Toll Road / Fastrack, and Prepass items.
- Managing vendor relationships and payments including coding, tracking, and processing of invoices.
- Maintaining and reconciling Fleet asset financial records and assisting with month-end close.
Qualifications
- Requires knowledge of budget and expense analysis techniques. leading fleet maintenance practices, and applicable legislation / regulations
- Must have strong analytical, problem-solving, and decision-making skills with ability to interpret / understand ambiguous questions and / or information.
- Ability to work both independently and in a collaborative team-oriented environment.
- Demonstrated interpersonal skills to maintain productive working relationships with fleet personnel, user groups, and outside vendors.
- Must be well organized to meet heavy workloads and be able to effectively manage multiple tasks.
- Requires experience and proficiency within the Microsoft product suite, including Excel, Word, PowerPoint, and Outlook for managing fleet management activities.
- Knowledge of fleet operations with an emphasis on the core NAFA fleet management principles including : Asset, Business, Financial, Data / Information, Maintenance, Risk and Fuel Management is a plus.
- Ability to apply common sense to carry out instructions and deal with challenges / issues.
- Must demonstrate strong ethics, interpersonal skills, and the ability to effectively manage stress and engage in continuous learning.
- Specialized focuses on fundamental automotive theory, equipment technology, analytics, Internal / External workflow methods and Formal fleet / parts management coursework is a plus.
- Experience in various specific computer software programs (Dynamics D365, Fleetio, Samsara, AssetWorks or similar)
Education and Experience
- High School Diploma or equivalent. Bachelors degree preferred.
- Minimum 2 years experience in a Fleet administration role or 3-years in accounting / financial planning role.
- Proficient in Microsoft software such as Word, and Excel.
- Must have good business written and oral communication skills and effective listening skills.
- Must be fluent in English.
- Strong customer service skills a must.
