The Legal Intake Manager will play a crucial role in our Intake Department, managing the entire lead process from initial contact to client sign-up for all incoming prospective clients with new case inquiries.
This is a full-time in-office role.

You will survey prospective clients, empathize with them about the details of their disability cases, manage new client onboarding, and data entry.
Our law firm handles Social Security Disability claims only. We will provide the training and resources to help you flourish in your role in a tight-knit and supportive legal team.

Responsibilities :
- Immediately answer all incoming potential client calls and written inquires to gather relevant information regarding a client’s potential case and accurately enter details into the lead management software system.
- Gather details regarding general background, procedural status of prospective client’s disability claim, work history, disabilities, and medical treatment to determine the potential of a Social Security Disability claim.
- Communicate with prospects clients via phone, text, and email to gather and follow up on case information.
- Independently retain claims with clear merit. Communicate with attorneys on all other claims.
- Record and compile reports on the source / origination of all calls, texts, and emails received.
- Perform case-related administrative duties, such as organizing case files, scanning, filing, mailings, and managing a multi-line phone system.
- Process new client onboarding, establish client files through data entry and paperwork collection, and open all new cases promptly and accurately in case management software.
- Prepare accurate and error-free documents in a timely manner and ensure all client interactions reflect the high standards and core values of Pilzer / Klein, PC.
- Build professional relationships with providers, clients, and teammates while maintaining professionalism and composure when interacting with others.
- Set appointments with potential clients that meet our criteria to grow our caseload. Help and counsel prospective clients that do not meet Social Security’s disability standards find alternative avenues for support and opportunity.
- Collaborate with marketing on outbound sales tactics, social media, and partnerships with other law firms to help bring in new cases.
- Evaluate prospective client inquiries and phone calls, analyze their case fit, and ensure all prospects and clients feel seen and heard with each contact.
- Assist in training new team members when necessary and participate in continuous improvement initiatives to enhance our intake process and social media outreach.
- Maintain thorough and accurate records in compliance with firm policies, legal ethics, regulations, and always handling every matter with complete confidentiality.
Qualifications :
- Exhibit a passion for helping and expressing empathy with the prospects and clients we serve.
- High level ability to understand and interact with prospects and clients from all backgrounds who are in financial and medical distress.
- Commitment to maintaining confidentiality and professional ethics.
- Previous experience in customer service or sales preferred.
- Excellent communication organizational skills.
- Ability to prioritize workload, and also work learn independently.
- Maintaining attention to detail.
- Strong problem-solving skills and the ability to think critically.
- Ability to foster a positive and collaborative work environment while maintaining a professional behavior at all times.
- Knowledge of data management and ability to run reports on data.
- Background in the legal or insurance industry is a plus.
- Experience with LeadDocket, VineSign, and Filevine is a plus.
- High school diploma or equivalent required; Associate or Bachelor’s degree preferred.
- 1-2 years of experience in a customer service or sales related field (insurance or legal industry experience is a plus).
- Familiarity with managing client relationship software and lead management systems is a plus.
