Donor Database & Stewardship Specialist
Job Summary
This position is responsible for creating and maintaining constituent records for individual and corporate donors, foundations, and prospects, and for the appropriate coding, recording, and processing of charitable donations.
This position will assist in donor stewardship by soliciting appointments with prospective donors and other tasks associated with Advancement department projects.
The position works closely with the Vice President of Advancement and External Relations, the Chief Executive Officer, and other members of the Leadership Team to ensure the timely recording of donor, volunteer, and gift information.
The position requires the ability to maintain strict confidentiality and to be a self-starter working independently as well as within the framework of the team.
The position also protects and enhances CHNK’s reputation and image in the community.
This is a hybrid position with some duties being required to be performed onsite and some able to be executed remotely.
Essential Job Functions
The time spent on the following duties is generally estimated to be 65% of the time spent on assigned tasks.
- Maintains files in Raiser’s Edge NXT for donors and prospects.
- Process gifts and ensure that invoices, acknowledgements and thank you letters in Raiser’s Edge NXT according to established protocols.
- Maintains the accuracy of the Raiser’s Edge NXT database system including keeping mailing lists and donor information current
- Serve as policy expert and implement and maintain policies and procedures related to gift processing, such as audited gift documentation, gift-in-kind and soft credit.
- Create and maintain reports and mail merge templates for gift processing, gift receipt, and gift acknowledgements.
- Analyze gift information to determine campaigns, funds, appeals, and / or proposals (as appropriate) for entry and processing.
- Create appeal records and internal dashboards with consistent information to track fundraising initiative success.
- Initiate and investigate gift detail when required campaign, fund, and / or appeal information not provided.
- Reconciles gifts with Vice President of Advancement and External Relations and Finance team
- Create queries and produce various monthly and annual financial reports; submit and distribute to Leadership and Finance team.
The time spent on the following duties is generally expected to be 20% of the time spent on assigned tasks. (10% for each of the tasks)
Maintain CHNK’s special campaigns activity, support volunteers in their duties
The time spent on the following duties are generally expected to be 15% of the time spent assigned tasks. (5% each task)
- Manages grant reporting calendar and stewardship process with CHNK program and finance staff to ensure accurate and timely required reporting on all grants.
- Manages direct mail projects
- Other duties as assigned.
Required Skill Sets and Previous Experience
- A minimum of 1 year of experience with fundraising database platforms required. Proficiency with Raiser’s Edge NXT or other Blackbaud products strongly
- Knowledge of gift processing protocols and coding.
- Knowledge of grant reporting and stewardship processes.
- Competency with Microsoft Word and Excel.
- Excellent interpersonal and communication skills (verbal and written).
- Excellent organizational skills with the ability to manage multiple projects, prioritize tasks, meet deadlines, and achieve goals.
