GENERAL INTRODUCTION :
The Archbishop, visible principle of unity in his archdiocese, is called to build up the particular Church unceasingly in the communion of all its members, and to ensure that their diverse gifts and ministries, in union with the universal Church, serve to build up all the faithful and to spread the Gospel.

Each position employed in the Chancery helps to extend the ministry of the Archbishop in particular ways as outlined in the position description.
POSITION PURPOSE :
The Donor Database Administrator is part of the Development team and is responsible for the daily processing and reporting of donations and pledges, maintaining the Raiser’s Edge donor database, ensuring the timely processing of gift acknowledgements and receipts, supporting prospect research, event management, and providing administrative support to the broader Development team as needed.
This position is a full-time role with a minimum of 4 days per week in the office at our downtown Seattle location depending on department and staffing needs.
ESSENTIAL POSITION DUTIES :
Gift Entry and Reporting (50%)
- Processing donations and entering pledges and proposals
- Processing online, 3rd party, mail, matching gift, and stock donations
- Running queries, reports, and lists
Database Maintenance (15%)
- New constituent record creation
- Constituent record updates and de-duplication
- Communicate changes with parishes
- Process National Change of Address (NCOA) data, update records from returned mail, and submit changes to parishes
- Follow weekly schedule and deadlines to ensure major solicitation mailings, acknowledgements, and data extractions are accurate and timely
Database Knowledge / Training / Testing (5%)
- Under direction of the Assistant Director of Development Operations, obtain Raiser’s Edge certification and stay current with database instructions and training and to ensure tasks are completed efficiently and in a timely manner
- Train and become familiar with ParishStaq and related processes
- Participate in professional development as needed
Acknowledgements (10%)
Process and send Annual IRS Tax Receipt Letters Assist in campaign appeals
Customer Service (5%)
Provide high-level, responsive customer service to donors and other Archdiocese stakeholders, including parishes Serve as primary contact via phone and email for donor questions and concerns
Other (15%)
- Prospect research portfolio tracking and identification
- Online forms
- Events management
- Managed lists in MailChimp / email marketing platform (import and export and track duplicates)
- Appeals, stewardship, and mailings support
- Support Development team with fundraising data needs
- Reconcile donor database with accounting team
- Support accounting team with annual audit
- Other duties as assigned
Qualifications
ESSENTIAL QUALIFICATIONS :
Primary :
- Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop
- Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers
Education :
College highly preferred
Experience :
- Preferred at least 3 years’ experience working with a customer management or fundraising system, preferably in a relational database environment
- At least 1 year Raiser’s Edge experience preferred
- Familiar with query and export functions in a database
- Proficiency in Microsoft Excel and Word
- Customer service experience preferred
- Nonprofit experience a plus

- Excellent organizational skills and the ability to work on multiple projects and set priorities to meet deadlines.
- Attention to detail with a high degree of accuracy in data entry
- Excellent written and oral communication skills to interact and problem solve any data concerns with constituents, parish, and Archdiocesan staff
- Ability to work independently as well as in a team
- Ability to maintain high levels of confidentiality
- Knowledge of and familiarity with the Catholic Church in Western Washington
