SUMMARY

Eagle Eye Electric, LLC a subsidiary of Bering Straits Native Corporation is currently seeking a qualified Executive Administrative Assistant in Washington, DC.

Responsibilities

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Maintains record of work accomplished, files and document completed work, and works in cooperation with others in large, complex efforts.
  • Must use their own judgment in locating, selecting, and applying the most appropriate authorized alternative among the various guidelines covering similar situations.
  • Assists in researching and compiling special reports.
  • Resolves routine questions and problems.
  • Identifies and corrects problem areas as they arise.
  • Provides final quality assurance check for all document deliverables.
  • Organizes communications with little direct supervision
  • Reviews and types materials from written drafts originating in the different organizational elements of the organization.
  • Plans the layout of text, charts, forms, tabulation, or any combination of this material for neat and balanced appearance.
  • Must have knowledge of grammar, spelling, capitalization, and punctuation needed to type a variety of materials accurately from written sources or voice recording.
  • Must use judgment and apply critical thinking in locating, selecting, and applying the most appropriate authorized alternative among the various guidelines covering similar situations to include management of calendars and coordinating travel requirements
  • Must use critical thinking when leading the coordination of the Executive calendar ensuring proper alignment including addressing schedule conflicts involving internal and external GO / SES calendars.
  • Coordinates travel requirements and reservations (hotel, flights, visit request paperwork, and proper travel credit card accounting) are made accurately with detail travel itinerary.
  • Must have knowledge of clerical procedures used to perform the work.
  • Refers situations with recommendations involving significant deviations from established guidelines, or the absence of adequate guidelines, to supervisor.
  • Proofreads typed material before returning it to the author in order to eliminate typographical errors.
  • Uses Microsoft Word and Excel equipment to produce draft and final documentation suitable for publication.
  • Works from draft, edited, or previously typed material to record, update, and print required documentation.
  • Coordinates and leads administrative support for conferences, meetings, and travel requirements
  • Photocopies, faxes and files project documents and correspondence.

Qualifications

QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

Required (Minimum Necessary) Qualifications (applies to both this section and KSAO’s)

  • Bachelor's or equivalent training and experience
  • MUST BE ABLE TO OBTAIN SECRET CLEARANCE

Knowledge, Skills, Abilities, and Other Characteristics

  • Must be proficient in using Microsoft Office 365 tools (Outlook, Teams, Excel, Word, to execute duties
  • Must be a self-starter
  • Must be organized

Preferred

  • Executive admin / office support in Government environments
  • Familiarity / Experience with DTS (Defense Travel System)

DOT COVERED / SAFETY-SENSITIVE ROLE REQUIREMENTS

This position is not subject to federal requirements regarding Department of Transportation safety-sensitive functions.

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job.

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system.

The work described herein is primarily a modern office setting.

May be required to hire or supervise employees

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results.

If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
