Overview
PepsiCo is seeking a highly skilled and talented Associate Administrative Assistant (L02). The position is located in Farmington, MO and is responsible for providing administrative support to the Unit Manager and Sales Team.
Responsibilities range from travel arrangements, executive support, filing and invoice processing, to ensuring the accuracy of databases and report generation and presentation creation.
Responsibilities
- Scheduling meetings, external events and conference calls, as needed
- Preparing and maintaining P-Card and APS spend each period
- Organizing, maintaining, and procuring office supplies
- Managing, updating, and appropriately communicating departmental documents ( organizational announcements, Distribution lists, service anniversary lists)Handling departmental projects as assigned
- Answering general phone inquiries in a professional, courteous, and helpful manner and appropriately handling vendor calls and emails
- Greeting visitors to the organization in a professional, welcoming, and helpful manner
- Organizing and maintaining free goods processes for location ( charitable donations, contractual free goods, sampling)
- Process daily cashiering of delivered routes in Enterprise Settlement Console, which includes remotely depositing scanned checks and compiling a physical deposit for cash and coin
- Complete daily cashiering documentation, which includes running reports, maintaining a log of cashiering activity, and retaining appropriate documentation
- Process all miscellaneous deposits for location, which includes providing receipts of deposit activity, documenting activity appropriately on log of cashiering activity, and retaining appropriate documentation
- Reconcile daily Dispute Management cases with active communication with the AR and Delivery Teams
- Ensure new customers are setup properly and communicate with Sales Team, where needed
- Manage NSF collection, payment processing, and communication
- Support with invoice creation
- Address all Non-Responses on a weekly basis
- Maintaining Local Order Entry
- Support Pepsi Direct cases
- Proficiently monitor Unauthorized Chargebacks and Short Pays from the customers on a weekly and period basis
- Adhere to Control and Compliance guidelines in all areas of business
- Ensure GCS Controls are completed daily, weekly, period and quarterly within the required timeframe
Compensation & Benefits :
- The expected compensation range for this position is between $33,300 - $51,500
- Location, confirmed job-related skills and experience will be considered in setting actual starting salary
- Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement

Qualifications
- Proven track record of supporting and managing multiple and competing priorities
- Must be highly organized, pay close attention to details and proactively follow-up
- Ability to anticipate needs and issues and act accordingly in addition to exhibiting good judgment
- Ability to manage workload in a fast-paced and high intensity work environment
- Must be able to flex schedule to meet work demands (ex. early mornings, after hours)
- Proficiency using Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Must have strong interpersonal, time management, and problem-solving skills
- Must display professional maturity and ability to support and interact with all levels of management
- Ability to change focus of work seamlessly, efficiently, and adapt to unexpected requests
- Must be able to lift 10+ pounds (for sorting and mailing samples and POS)
- Have reliable transportation to and from the work location
