What this job involves

The Move Coordinator is responsible for managing the move processes, ensuring customer satisfaction, facilitating move communication, and reconciling costs associated with all move-related activities.

Responsibilities include but are not limited to the coordination and execution of small and large office moves and changes.

Customer Experience

  • Manage all new hire onboarding information by reaching out to admins / managers.
  • Meet with admins and team managers to discuss logistics and details of their moves.
  • Update move matrix, fill in customer information, and technical requirements.
  • Assess cubicle condition, order missing parts, and implement ergonomic changes.
  • Compile and review move lists for potential issues.
  • Review furniture layout and determine locations for files and storage.
  • Deliver boxes, move labels, post pin-ups, and provide move instructions.
  • Determine mobile locations and prepare furniture for drop-in stations.
  • Act as a liaison between teams and move vendors, communicating any last-minute updates.

Move Activities

  • Schedule movers and alert security, providing all names for badging.
  • Schedule disconnects and reconnects of computers, servers, printers, and phones.
  • Manage check-outs and check-ins, ensuring all clients are in their designated locations.
  • Be on-site for all vendors and customers during moves.

Post Move Follow Up

  • Provide welcome communications with information on the new location and site services.
  • Troubleshoot any lost or misplaced items.
  • Review completed moves and make adjustments with vendors.
  • Coordinate vendors for the installation of power / data as required.
  • Submit service tickets for space cleaning, and ensure keys and chairs are at desks.
