Purpose of the Position :
The Staff Assistant will assist Administrative Assistant to ensure that all departmental research and academic activities are proficiently performed, which requires working closely with staff, faculty, students, and various units in Cramer Hall and across campus.
Duties / Responsibilities
- Work closely with the administrative assistant with the management of travel related to research activities for faculty, graduate research assistants, and student specialists.
- Process key requests for graduate research assistants, and student specialists.
- Manage graduate research assistant room assignments in Cramer Research Hall.
- Work with the Office of Research Security for the processing of Cramer Research Hall badge access requests.
- Assist with ePAFs and eLabor updates for faculty and GRAs (biweekly, each semester, and as needed) and monitor approvals (biweekly).
- Assist in determining appropriate summer salary for faculty who will be charged to research, enter ePafs and eLabors.
- Attend monthly meetings as appropriate (e.g., ESSC administrative support meeting, Financial Resource Manager meetings).
- Participate in required training, including security training related to NSSTC.
- Work closely with the administrative assistant managing the graduate student admission process. Sending announcements to faculty / students and Cramer Hall / ESSC as a backup to the administrative assistant.
- Prepare and distribute defense announcements in the absence of the administrative assistant.
- Create and process requisitions for all purchase orders of research-related items and equipment.
- Process requisitions for purchase for AES faculty.
- Maintain and use p-card for research-related travel and purchases by faculty, graduate research assistants, and student specialists.
- Provide support to faculty on interpretation of financial statements for research accounts.
- Serve as departmental liaison for payroll, travel, and purchasing for research-related matters.
- Assist in coordinating UAH faculty-led research conferences, workshops, and meetings
- Monitor section enrollment, and waitlists, and submit schedule adjustments as a backup to administrative assistant.
- Management of department calendars, 3 classrooms, and conference room as backup to administrative assistant.
- Coordination of necessary security training for graduate research assistants and student specialists.
- Assist with preparation of graduate research assistant contracts.
- Enter necessary overrides for graduate student course enrollment as a backup to the administrative assistant.
- Work closely with an administrative assistant in the submission of student forms for M.S., Ph.D., and JUMP, including programs of study, change of program of study, JUMP program, and change in JUMP program, exam notifications, and reports.
Minimum Requirements :
- High School education, or an equivalent combination of education and years of experience
- 3-5 years of full-time verifiable relevant administrative work experience
- Proficiency with Microsoft Office
- Ability to utilize the Google Drive file system
- Excellent communication and interpersonal skills
- Ability to manage multiple concurrent tasks
Desired Qualifications :
- Bachelor’s degree is preferred
- Experience in an academic environment is desired
- Proficiency with Banner, Argos, Degree Works is preferred
