Position Summary

ProSmile is in search of an energetic, motivated, and organized Dental Receptionist with a positive attitude who is looking for growth and development in their field, and the opportunity to ascend in a growing organization that puts the care of its patients and the satisfaction of its employees first.

Duties and Responsibilities

  • Serve as the first point of contact for patients, providing friendly and timely assistance.
  • Coordinate patient flow and manage financial activities, including scheduling, handling paperwork, collecting payments, and verifying insurance coverage.
  • Maintain the reception area, office supplies, patient literature, and related items.
  • Manage incoming and outgoing calls, voice messages, and patient communications.
  • Verify and update patient demographic information and insurance details in the system.
  • Schedule and confirm appointments, ensuring the next day’s schedule is filled and patients arrive on time.
  • Prepare charts and schedules for the following day and ensure minors are accompanied by a parent or guardian.
  • Maintain patient records, including signatures on required forms, and manage the office scanning system.
  • Oversee patient payments and reinforce the office’s financial policies.
  • Assist with the patient recall system and follow up on broken appointments.
  • Communicate schedule changes to providers and ensure the waiting room is comfortable and welcoming.
  • Perform miscellaneous job-related duties as assigned, including supporting the Dental Practice Manager when needed.

  • Must be 18 years old
  • High School diploma or GED preferred
  • Customer-facing work experience required
  • Work experience in a dental or medical practice preferred
  • Experience using Dentrix, Outlook, Word, Excel preferred
  • Easily able to learn new technologies and systems required
  • Ability to work in a fast-paced environment
  • Requires some flexibility in scheduling, such as the ability to work evenings and weekends as needed

Knowledge and Skills / Expected Competencies

  • Strong customer service, communication and interpersonal skills.
  • Ability to clearly communicate medical information to professional practitioners and / or the general public.
  • Excellent organization, prioritization, follow up, analytical and time management skills with ability to handle multiple priorities and deadlines.
