The Administrative Assistant position manages the overall administrative operation of the departments and provides administrative support to Executive level management.
Performs clerical and administrative duties of a complex and confidential nature. Coordinates special projects and serves as a Company resource and liaison.
Provides timely, responsive, and professional administrative support.
Duties and Responsibilities :
- Plans, organizes, and prioritizes workflow to ensure efficient operation of the departments.
- Maintains executives calendar, schedules travel, appointments, and meetings.
- Performs difficult, complex, analytical, technical and / or specialized office support work.
- Creates presentations and compiles statistical data for use in department reports. Participate in special projects.
- Completes and submits expense reports and time utilization.
- Back up for other admin(s)
- Catering, office supplies, and other duties as assigned.
Knowledge, Skills, and Abilities :
- Advanced knowledge and use of PowerPoint, Word, Excel, Workday, Salesforce and Microsoft Dynamics to assemble, manipulate, and format data and reports - with the ability to quickly learn and manage new systems.
- Highly developed interpersonal, organization, written, verbal, presentation, coordination, and multi-tasking skills. Use of standard office machinery to perform duties.
- Strong understanding of business unit functionality. Ability to provide effective support to help achieve Company goals & objectives.
- Ability to accomplish tasks of varying complexity with very little supervision or oversight.
- Positive person with strong communication and relationship skills.
- Very organized, efficient, and detail-oriented with good follow-through while being able to multi-task and switch gears quickly.
- Not afraid to ask questions, anticipates needs, very resourceful, and takes initiative / proactive steps to improve outcomes.
Work Experience, Education, and Certifications :
- Executive level administrative assistance experience preferred.
- Two years management experience in an office environment preferred.
