Job Purpose : The Admin handles a mix of administrative and HR tasks to support plant activities through efficient documentation, process management, and communication.
Responsibilities include supporting employees and temporary staff, managing records, coordinating schedules, and assisting with compliance matters, all contributing to the plant's productivity and efficiency.
Job Duties and Responsibilities :
Facility Duties
- Coordinate scheduling and logistics for vendors, customers, and visitors, ensuring safety and GMP protocols.
- Help plan and organize company events and meetings to foster employee engagement.
- Manage office supplies, IT equipment, and mail flow; liaise with IT help desk for issue resolution.
Badge System, Timekeeping, and Uniforms
- Administer facility security system and manage badge issuance for employees and contractors.
- Support employees and temporary staff with badge system and time clock procedures.
- Train supervisors and new hires on timekeeping procedures and issue resolution.
- Manage the work uniform program and coordinate with the third-party vendor.
Employee Safety Program Support
- Maintain records of safety incidents and ensure follow-up on open items under HR supervision.
- Collaborate with EH&S on safety incident follow-ups, monthly reporting, and OSHA 300 log maintenance.
- Provide data and support for safety programs and initiatives.
- Support Safety Steering Team and Safety Committee activities.
Recruiting, Onboarding, and Training
- Support recruitment for regular and temporary employees by communicating with staffing agencies and hiring managers.
- Process transactions in UKG for onboarding and offboarding temporary employees.
- Schedule and organize new hire orientation for a thorough onboarding experience.
- Set up workstations for new hires and order necessary supplies.
Other Duties
Perform additional tasks as assigned.
Qualification and Skill Requirements :
- Experience : 2-4 years in an administrative role in a manufacturing environment. High School diploma required.
- Languages : Fluency in English; knowledge of Spanish highly preferred.
- Skills :
- Ability to manage multiple priorities and stay organized.
- Problem-solving skills and ability to work collaboratively.
- Strong interpersonal communication skills.
- Attention to detail and customer service focus.
- Ability to maintain confidential information.
- Technical Skills :
- Proficiency in Microsoft Windows, Word, Excel, and Outlook.
- Experience with HRIS software like UKG is a plus.
- Basic math and high school-level reading and writing skills.
Work Requirements :
- May require extended hours based on business needs.
- Requires reliable transportation and occasional travel between facilities.
- Moderate to high demand for meeting tight deadlines.
- No requirement for overnight travel.
Physical Requirements :
- Moderate bending, pushing, pulling, climbing stairs, reaching, lifting, and grasping (2-4 hours / day).
- Continuous sitting, standing, walking, talking, communicating, and repetitive hand / wrist movement (6+ hours / day).
- Good eyesight, normal hearing, fluent in English.
Working Conditions :
- Indoor environment, seasonally hot and humid on the production floor.
- Exposure to various fragrances at times.
- Moving and lifting objects up to 10 lbs.
Work Schedule :
- 8-10 hour shifts, flexible based on business and customer needs.
- May require an additional 5-10 hours per week beyond the normal schedule.
