Program Support Associate – Doerr School of Sustainability, Stanford, California, United States

This is a one-year fixed-term position with the possibility of renewal dependent on programmatic need and budgetary availability. The position is based on Stanford's main campus with consideration given to a hybrid work schedule (partially onsite and offsite), subject to operational need. Overview

The Program Support Associate will provide essential administrative and logistical support for convenings and capacity development programs. Working with limited supervision, this role supports high-impact initiatives such as the Natural Capital Symposium, custom training programs held locally and internationally, and other strategic efforts that advance research and outreach goals. The role helps deliver new course agreements and ensure smooth execution of a broad spectrum of events to support NatCap's mission to equip practitioners with the knowledge, tools, and networks needed to integrate natural capital approaches into decision-making.

Your Responsibilities

  • Coordinate planning and logistics for major convenings (e.g., the biennial Natural Capital Symposium) and custom training programs, including scheduling, communications, vendor selection, contracting support, and budget monitoring.
  • Serve as on-site event manager for on-campus convenings.
  • Maintain the Capacity Development program database; generate reports to support program evaluation, content, and decision-making.
  • Guide the execution of new training agreements, including ensuring timely delivery on new courses.
  • Draft and edit documents, presentations, reports, and correspondence; maintain and update program content for websites and reports.
  • Track and report on program metrics; support past participant engagement and program evaluation efforts.
  • Plan and maintain complex calendars; arrange travel in compliance with Stanford and sponsor policies.
  • Process a variety of financial transactions; produce, monitor, and reconcile budget statements; research and resolve discrepancies.
  • May lead or supervise temporary / student workers, including assigning and reviewing tasks.

Qualifications

Education & Experience : High school diploma and four years of administrative experience, or a combination of education and relevant experience.

Knowledge, Skills and Abilities :

  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing projects.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.
  • Certifications and Licenses : None

    Preferred qualifications :

  • Knowledge of Stanford University systems and policies.
  • Experience planning and coordinating a wide variety of events.
  • Experience with Cvent, AirTable, and Smartsheet.

    Compensation

    The expected pay range for this position is $39.20 to $45.56 per hour. Stanford provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered will be determined based on factors such as the scope and responsibilities of the position, qualifications of the candidate, budget availability, internal equity, geographic location, and external market pay for comparable jobs. Base pay is just one component of the rewards package described at Cardinal at Work.
