Administrator II

King County Metro's Transit Facilities Division (TFD) is searching for a self-motivated individual with good judgment, an eye for accuracy, and professional integrity to provide complex and critical administrative support. This Administrator II position offers fantastic benefits and a values-driven work environment. Ideal candidates will demonstrate strong skills in managing multiple administrative projects and programs simultaneously, provide backup support in highly specialized areas of finance and budgeting, and interpret reports and trends to make data-driven recommendations. They will also have skill and experience in building strong, productive working relationships with all types of internal or external customers, and the ability to continuously improve the efficiency and accuracy of business and administrative processes.

King County Metro's Transit Facilities Division maintains all Metro Transit properties, such as bus bases, park & rides, bus shelters, and offices and maintenance shops. Services include bus shelter repairs and replacements, bus shelter cleaning, trolley wire repairs, radio maintenance for buses, environmental spill clean-up, bus sign replacement, graffiti removal, and other facilities maintenance duties. Additionally, the Facilities Maintenance Division also implements capital improvement and grant-funded projects aimed to enhance the condition of County-owned facilities and to respond to ridership needs based on route usage and customer feedback. This recruitment may immediately fill up to one (1) Career Service position and may also be used to create an eligibility pool for future Career Service, as well as any fully-benefitted Term-Limited Temporary (TLT) / Special Duty Assignment (SDA), vacancies, valid up to 12 months or until the pool is exhausted, and at the discretion of the hiring authority. First-round interviews are anticipated to occur during the week of November 10, 2025, but dates are subject to change.

  • Perform payroll and timekeeper functions, ensuring timely and accurate payroll processing.
  • Develop and coordinate special programs and projects, recognition awards and promotional events for the division.
  • Participate in strategic planning efforts and help develop and / or revise policies and procedures for assigned work unit.
  • Assist Supervisors in researching and analyzing financial data, including identifying revenues, expenditures and discrepancies and conducting some basic forecasting.
  • Process uniform, shoe, travel and similar vouchers consistent with labor agreements. Process and track invoices for payment.
  • Analyze and evaluate data for assigned research projects and technical systems, assess program models and prepare summary reports.
  • Interpret and provide management with information on current administrative policies, procedures, and legislation.
  • Participate in planning and marketing and in providing business and support services for assigned work unit.
  • Develop and manage a project of limited scope within work unit. Plan and coordinate special programs, recognition awards and promotional events.
  • Prepare and manage presentation materials and publications for internal use, including digital signage.
  • Be a subject matter expert in certain areas of focus and provide support to internal staff, including Leaves Management, Grievance procedures, and others.
  • Develop, implement and evaluate methods for monitoring existing and new administrative systems to support work activities at the unit, section, division and / or department levels.
  • Represent the work unit, division or department on internal and external committees or task forces.
  • Maintain confidentiality while earning trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
  • Maintain base files for employees. Complete personnel related documents such as position requisitions, personnel changes, and special duty request forms for submittal to Transit Human Resources.
  • Track FML / KCFML usage and time balances; maintain disciplinary action records as required in compliance with negotiated labor agreements; safeguard confidential information relating to terminations, discipline, drug testing and other personnel actions.
  • Track and ensure timely processing of grievance procedures, contract requirements, and next steps; schedule disciplinary meetings and hearings; take notes, prepare and distribute hearing summaries.
  • Perform other duties as assigned.
  • Candidates must meet the following minimum qualifications to be considered for the position :

  • Three (3) years of increasingly responsible experience in a range of business and advanced administrative functions that pertain to this position.
  • Demonstrated customer service skills, and ability to work and communicate with diverse groups of customers in person, verbally, and written ability to maintain confidentiality and use discretion when handling sensitive information.
  • Knowledge of account management and data collection principles, practices, procedures, and techniques.
  • Ability to develop, prepare, and maintain complex database reports, including charts, graphs, and tables.
  • Excellent organizational skills are required to work on a number of projects simultaneously and to complete projects within specified deadlines.
  • Demonstrated strong attention to detail. Proven ability to multi-task and remain organized in a fast-paced environment with multiple deadlines and changing priorities.
  • A strong background in administrative support and demonstrated ability to effectively problem solve and use good judgement in making independent decisions.
  • Skilled in working with a variety of individuals from diverse backgrounds
  • Skilled in the use of personal computer programs including but not limited to Microsoft Word, Excel, Outlook, SharePoint, PowerPoint, MS Teams and Adobe.
  • Desirable qualifications include :

  • Knowledge of Metro Transit policy & procedures.
  • Knowledge of Lean / Continuous Improvement principles.
  • Demonstrated skill in planning, organizing, time management, and handling competing priorities, and producing quality detailed work within tight timeframes.
  • Demonstrated skill in applying project and account management principles and practices.
  • Positive, collaborative, flexible disposition; equally adept at working independently or as part of a team.
  • Ability to work in a fast-paced, dynamic environment.

    WORK LOCATION AND ENVIRONMENT : This position is anticipated to report to King County Metro's Power Distribution Headquarters, located at 2255 4th Avenue S; Seattle, WA 98134. This position requires the incumbent to report to the workplace in-person on a regular and consistent basis.

    WORK SCHEDULE : This position is anticipated to be full time, assigned 40 hours per week, typically Monday through Friday. This position is not exempt from the provisions of the Fair Labor Standards Act and is therefore eligible for overtime pay.
